We’re a small, dedicated team looking for a proactive, detail-oriented Operations Assistant to help ensure our office, events, and communications run smoothly.
Position Summary:
The Operations Assistant plays a key role in ensuring the day-to-day success of SDCDS by supporting office operations, managing event logistics, overseeing member and sponsor communications, and maintaining organizational systems. This is a dynamic role for someone who is organized, tech-savvy, and thrives in a collaborative, mission-driven environment.
Key Responsibilities:
· Manage day-to-day organizational operations including meeting scheduling, document management and vendor and sponsor coordination.
· Provide logistical and administrative support for SDCDS events, meetings, and continuing education programs.
· Support board and committee meetings by preparing materials, documenting minutes, and managing logistics.
· Assist SDCDS Executive Director and staff with operational projects.
· Troubleshoot basic IT issues and support technology setup for meetings and events.
· Maintain and update member database, ensuring data accuracy and integrity.
· Communicate with members, sponsors, and partners via email, phone, and written correspondence.
· Assist with marketing emails, event registration tools, and internal communications.

Compensation: $25 hr

Education & Experience
· Associate’s or Bachelor’s degree in Business Administration, Communications, Event Management, or related field (or equivalent experience).
· Minimum 2 years of administrative, operations, or events experience (nonprofit or membership-based organization preferred).
· Experience working with customer relationship management (CRM) systems or databases.
Technical Skills
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
· Familiarity with Zoom, Google Workspace, and cloud-based file systems (e.g., Dropbox, SharePoint).
· Ability to troubleshoot basic IT issues (remote meeting tools).
· Comfortable learning and using event management and communication tools (e.g., Eventbrite, Constant Contact, Canva).
Administrative & Operational Abilities
· Strong organizational skills with the ability to manage multiple tasks and prioritize competing deadlines.
· High attention to detail for managing meeting materials, event logistics, and accurate data entry in member databases.
· Ability to maintain office supply inventories, schedule maintenance or repairs, and oversee vendors and contractors.
· Reliable support for scheduling and coordinating meetings, preparing agendas, and documenting minutes.
Event Management
· Ability to plan, coordinate, and oversee logistics for in-person and virtual events (e.g., continuing education courses, networking events).
· Experience coordinating event setup, vendor communication, registration tracking, and attendee support.
· Comfortable working occasional evenings or weekends as needed for events.
Communication & Interpersonal Skill
· Excellent verbal and written communication skills for member, sponsor, and board interaction.
· Customer service-oriented with a friendly and professional demeanor.
· Comfortable communicating with a wide range of stakeholders, including dentists, sponsors, board members, and vendors.
· Ability to maintain confidentiality and represent the organization with integrity.

Job Type: Part-time
Pay: $25.00 per hour
