TURNER EXCAVATING, INC—OPERATIONS ASSISTANT
General Purpose
Provides administrative, secretarial and clerical support to others in the company to maintain an efficient work environment. Provides customer service at the office and as needed at retail yard.
Main Job Tasks and Responsibilities
answer phones, take customer orders, schedule deliveries
take and distribute accurate, detailed messages
greet public and clients and assist them with their product ordering needs
retrieve and distribute incoming mail every day
monitor incoming emails and answer or forward as required
prepare outgoing mail for distribution
record daily retail transactions with acute accuracy
scan and copy documents
maintain office filing and storage systems
update and maintain databases such as mailing lists, contact lists and client information
retrieve information when requested
ACCOUNTS RECEIVABLE PROCESSING: accurately create weekly billing invoices for customers, and distribute via email, mail
--ACCOUNTS PAYABLES PROCESSING: record and maintain payables as they come in for efficient payment
accurately create monthly statements for customers and distribute via email, mail
co-ordinate and maintain staff administrative records such as company radios and other issued equipment and fuel cards
type documents, reports and correspondence
co-ordinate and organize appointments and meetings
assist with event planning and implementation
monitor and maintain office supply inventory
ensure office equipment is properly maintained and serviced
MUST BE ABLE TO HANDLE MULTI-TASKING IN A SOMETIMES FAST PACED, DYNAMIC ENVIRONMENT.
perform work related errands as requested such as going to the post office and bank
perform out-of-area parts runs to Susanville, Reno, Red Bluff, Redding, Chico
perform personal errands for OWNERS, when needed
maintain mileage records for reimbursement on use of personal vehicle
keep office and common areas clean and tidy
list and manage auction/for sale items on websites such as Marketplace
provide pricing and product information to customers and potential customers
assist with coordinating county inspections
use online resources to locate needed parts, equipment, and information as requested
prepare for safety meetings, held weekly during “work season”, maintain records of meetings and safety topics covered
schedule deliveries, trucking, and backhauls in an efficient manner
work as needed at rock quarry, weighing trucks and recording tonnage
work as needed at landscape material yard helping customers and supporting yard employees
check county, state, and federal resources for upcoming projects
