Distinguishing Characteristics of Work:
This is a responsible administrative support role for the Fifth Judicial Circuit Court Administration, based at the Marion County Judicial Center. The Administrative Assistant performs a variety of secretarial and clerical duties, including civil and family case management, public assistance, and support for legal services. This position requires extensive interaction with the public, particularly in the Marion County Law Library and Family Law Self-Help Center, where reviewing legal forms for completeness and assistance with legal research is provided. Responsibilities also include preparing correspondence, reports, charts, and memoranda using Microsoft Office applications. Additional duties may involve managing office files, maintaining supplies, scheduling meetings and events, arranging travel, and supporting supervisor presentations. The role requires regular interaction with judges, court personnel, vendors, and members of the public. Work is performed under general supervision and involves handling sensitive and confidential information with discretion and professionalism.
Education and Training Guidelines:
Graduation from a standard high school and four years of secretarial or administrative experience is preferred, including at least one year in a senior-level or comparable position. A bachelor’s degree from an accredited four-year college or university may substitute for the recommended experience.
Knowledge, Skills, and Abilities:
- Proficiency with Microsoft Office, especially Word.
- Strong knowledge of English grammar, spelling, and punctuation.
- Clear, professional communication skills.
- Patience and professionalism when interacting with the public.
- Ability to handle sensitive information with discretion.
- Strong organizational skills, including the ability to prioritize tasks and meet deadlines.
- Excellent customer service skills, both in person and over the phone.
- Ability to work under pressure and manage multiple responsibilities.
- Frequent contact with court staff, county employees, and the public.
- Will be the backup to the Law Librarian.
