Position Overview:
We are seeking a detail-driven, in-house Paralegal to join our growing team. This role is heavily focused on contracts: reading, reviewing, and analyzing agreements to identify inconsistencies, risks, and opportunities. The ideal candidate thrives on details, has a sharp eye for discrepancies, can coordinate information across multiple departments, and is eager to grow into leading contract negotiations.
This role is a critical business partner to our sales, estimating, operations, and finance teams, ensuring all agreements protect the company’s interests, meet compliance requirements, and are executed efficiently.
Responsibilities
- Review, analyze, and track contracts, subcontracts, purchase orders, and related documents for accuracy, compliance, and risk exposure.
- Identify inconsistencies, missing information, unfavorable terms, and risk areas and working directly with internal teams to resolve.
- Coordinate with sales, estimators, operations, and finance to gather details, confirm project-specific terms, and ensure alignment across all parties.
- Support and, over time, lead contract negotiations with clients, vendors, and subcontractors.
- Ensure all agreements meet company requirements for insurance, licensing, warranties, union
and indemnification.
- Manage and maintain organized contract files, logs, and tracking systems.
- Assist with
collection efforts, including tracking outstanding receivables, coordinating follow-up with project teams, and engaging with clients to resolve payment issues.
- Assist with the resolution of project disputes including the provision of litigation support with outside counsel.
- Monitor deadlines, deliverables, change orders, and renewal dates.
- Assist with drafting and revising contract language, amendments, and correspondence.
- Recommend and help implement process improvements for contract review, negotiation, and collections.
Qualifications
- 3+ years of paralegal, contract administration, or related experience (preferably in construction, manufacturing, or industrial services).
- Strong contract review and analysis skills with exceptional attention to detail.
- Knowledge of construction industry contract types, lien laws, retention, change orders, and payment terms.
- Ability to read and interpret complex agreements and spot risks quickly.
- Strong written and verbal communication skills for cross-department coordination and external negotiations.
- Comfortable with numbers and financial tracking as related to contracts and collections.
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with contract management systems is a plus.
- Business-minded approach with the ability to balance legal considerations and operational needs.
- Persistent, diplomatic, and solutions-focused personality.
- NetSuite experience preferred.
