The Office Coordinator / Client Services Associate plays a central role in ensuring the smooth daily operations of the office while supporting team logistics and client interactions. This is a cross-functional role that combines office management and client service support. The ideal candidate is proactive, organized, detail-oriented, and thrives in a collaborative and dynamic environment.
This position requires 5 days of work in the office.
Primary Responsibilities
· Office & Administrative Operations
· Oversee general office operations to maintain an organized, efficient, and professional environment.
· Manage team and client scheduling, including booking internal meetings, client appointments, and follow-ups.
· Order and restock office supplies and materials as needed.
· Greet clients and visitors, providing a welcoming and professional first impression.
· Coordinate routine office maintenance and ensure equipment is functioning properly.
· Handle incoming and outgoing mail, packages, and manage phone communications.
· Provide direct support to the Vice President, assisting with team coordination, internal communications, and reporting needs.
· Maintain and update client and internal records within Junxure CRM.
· Manage general filing and document organization, both digitally and physically.
Secondary Responsibilities (Training Provided)
· Client Service & Financial Operations
· Assist with client onboarding tasks, including opening new accounts, processing account transfers, and handling required documentation.
· Support account-related activities such as cash management, transfers, distributions, and account maintenance.
· Conduct outreach to clients for time-sensitive needs (e.g., required minimum distributions).
· Educate clients on account services and available tools (e.g., eSignature, client portals, paperless statements).
· Execute daily operational tasks with accuracy and within designated turnaround times.
Qualifications & Skills
· Strong organizational and problem-solving skills with high attention to detail.
· Excellent communication skills, both written and verbal.
· Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
· Friendly, professional demeanor with strong interpersonal skills.
· Proficiency in Microsoft Office Suite, CRM platforms (e.g., Junxure or similar) and general office technology assistance.
· Self-motivated, dependable, and adaptable to change.
Preferred Qualifications
· Prior experience in administrative roles, office management, or client-facing support.
· Experience in a financial services or professional services environment is a plus.

Pay: $47,000.00 - $73,000.00 per year
