Job Overview
The Sales Coordinator supports the Wedding Sales Manager in creating exceptional wedding experiences at The Elizabeth Hotel. This part-time role (20 hours/week) focuses on assisting with client communications, event details, and administrative support to ensure a seamless planning process from booking to “I do.” Weekend availability for events is required.
Responsibilities
Serve as a point of contact for wedding clients during the planning phase, providing timely communication, timelines, and vendor coordination support.
Prepare and maintain contracts, proposals, banquet event orders (BEOs), and event details in CRM and file systems.
Coordinate and occasionally attend site tours, tastings, rehearsals, and weddings.
Manage incoming wedding inquiries and leads, ensuring prompt follow-up.
Support marketing efforts by collecting event content, scheduling social media posts, and maintaining wedding collateral and giveaway inventory.
Collaborate with hotel departments to communicate event details and client needs.
Assist with on-site client hospitality and vendor logistics during wedding events.
Maintain accurate, organized, and up-to-date wedding files and calendars.
Qualifications
Education/Formal Training
High school diploma or vocational secretarial.
Experience
Previous hospitality, event, or sales experience preferred.
Knowledge/Skills
Advanced knowledge/use of Microsoft Word applications: Word, Excel, Publisher and PowerPoint.
Experience with CRM systems preferred.
Strong editing skills.
Strong communication, organizational, and multitasking skills.
Detail-oriented with a customer-first mindset.

Excellent communication skills necessary to communicate clearly with customers and other departments by phone or in person.

Bending/kneeling - repeated bending and kneeling required while filing
Mobility - must be able to reach all areas of hotel to assist clients. Occasional standing. Occasional carrying and lifting of files and office items up to 25 lbs.
