This role is essential in ensuring smooth clinic operations and delivering exceptional patient experiences. The ideal candidate will have strong communication and organizational skills, a customer-service mindset, and a genuine interest in helping patients navigate their hearing health journey. This role reports to the Practice Manager.
Key Responsibilities:
Patient Interaction & Support:
- Greet and check in patients in a warm, professional manner
- Schedule and collect all required information needed
- Provide information about audiology services and hearing aid products
- Assist patients with completing forms and understanding procedures
- Follow up with patients regarding appointments, hearing aid repairs, treatment plans, or inform of patient balances
- Document patient interactions and updates in EMR systems
Administrative Duties:
- Answer multi-line phones and respond to voicemails and inquiries promptly
- Manage patient records and ensure accurate data entry in EMR systems
- Verify insurance eligibility and obtain prior authorizations if needed
- Collect co-pays, patient balances, and handle billing or payment questions
- Coordinate hearing aid orders, repairs, and tracking
Team Collaboration:
- Serve as a liaison between patients, audiologists, and other clinical staff
- Maintain and follow any cleaning schedules
- Support audiologists with clerical or organizational tasks as needed
- Participating in team meetings and quality improvement efforts
- Complete any duty as assigned
Qualifications:
Required:
- High school diploma or equivalent
- 1+ year of experience in a healthcare or customer service setting
- Excellent interpersonal, communication, and organizational skills
- Proficiency in Microsoft Office and EMR or scheduling software
Preferred:
- Prior experience in audiology, ENT, or a related healthcare field
- Knowledge of hearing aids and basic audiology terminology
- Bilingual in Spanish a plus
