SNF is the only Payroll/HR service provider specializing in the nursing home industry, combining people and technology to provide tailored solutions for our clients. We are seeking a highly experienced, detail-oriented, and accuracy-driven Payroll Specialist to join our team. This role requires an independent, self-managed professional who takes full responsibility for processing payroll for a dedicated book of business while providing exceptional customer service to clients.
The ideal candidate must possess strong communication skills, as they will work directly with clients to resolve payroll discrepancies, provide training on payroll processes, and ensure seamless payroll operations.
General Overview
The Payroll Client Specialist is responsible for end-to-end payroll processing, ensuring accuracy, compliance, and timely execution. This role demands proactive issue resolution, independent decision-making, and meticulous attention to detail to identify and address discrepancies before payroll is finalized.
Role and Responsibilities
- Oversee payroll processing for assigned clients, ensuring accuracy, timeliness, and regulatory compliance.
- Provide hands-on client support, addressing payroll inquiries, resolving discrepancies, and offering expert guidance.
- Train and assist client payroll administrators on payroll software, timekeeping systems, and best practices to ensure compliance.
- Analyze and process complex payroll calculations, including wage adjustments, retroactive pay, garnishments, and benefits deductions.
- Conduct in-depth payroll audits to verify data integrity, identify discrepancies, and resolve issues before submission.
- Review payroll reports (payroll summaries, registers, check registers) to identify potential errors and communicate necessary adjustments to clients.
- Serve as a subject matter expert for all payroll-related matters, including direct deposits, timekeeping systems, tax filings, and compliance.
- Communicate proactively with clients and internal teams via email, phone, and meetings to provide guidance and resolve payroll issues efficiently.
- Ensure payroll deadlines are met and address urgent payroll matters as they arise.
- Perform other duties as assigned by management.
Qualifications and Educational Requirements
- Bachelor’s degree preferred
- Minimum 4 years of full-cycle payroll experience, preferably in a multi-state service provider role.
- Strong proficiency in payroll software (iSolved experience preferred but not required).
- Advanced knowledge of payroll compliance, tax regulations, wage laws, and reporting requirements.
- High-level proficiency in Google Sheets, Excel, Word, and Outlook.
- Ability to self-manage a client book and meet deadlines without direct supervision.
- Exceptional attention to detail and accuracy.
- Strong problem-solving and critical-thinking skills, especially in payroll audits and calculations.
- Excellent customer service skills, with the ability to build strong client relationships and provide professional, friendly, and responsive support.
