Overview
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional multitasking abilities and a strong attention to detail, ensuring that all administrative tasks are executed efficiently. This role requires a blend of administrative expertise and interpersonal skills, making it essential for maintaining smooth operations within the office.
Duties
- Manage daily schedules and appointments, ensuring optimal time management for executives.
- Transcribe meeting notes and documents accurately for record-keeping and distribution.
- Utilize DocuSign for document management, ensuring timely signatures and compliance.
- Oversee office management tasks, including supply inventory and equipment maintenance.
- Provide executive administrative support by preparing reports, presentations, and correspondence as needed.
- Organize and maintain filing systems, both physical and digital, to ensure easy access to important documents.
- Demonstrate proficiency in Google Suite applications for document creation, collaboration, and communication.
- Maintain computer literacy to troubleshoot minor technical issues and assist with software applications.
- Manage phone systems effectively, including screening calls and directing inquiries appropriately.
- Assist with QuickBooks for basic accounting tasks as required.
Requirements
- Proven experience as a Personal Assistant or in a similar administrative role.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Google Suite applications (Docs, Sheets, Drive) is essential.
- Familiarity with DocuSign for electronic document management is preferred.
- Basic knowledge of QuickBooks is a plus but not mandatory.
- High level of computer literacy with the ability to learn new software quickly.
- Experience with office management practices and procedures is advantageous.
- Ability to handle sensitive information with discretion and maintain confidentiality.
