Job Overview
We are seeking a highly organized and proactive Personal/Family Assistant to provide comprehensive support to a busy creative professional. The ideal candidate will possess exceptional administrative skills and a strong ability to manage multiple tasks efficiently. This role blends business scheduling support with personal lifestyle management, ensuring her day runs smoothly across all aspects. This role requires a detail-oriented individual who can handle various responsibilities, including project coordination, personal, family and professional calendar management, while maintaining a high level of professionalism and confidentiality.
Key Responsibilities – Business Support
- Coordinate with the Studio Director to confirm meetings, timing, and availability
- Maintain personal calendar alongside business obligations to avoid conflicts
- Take notes during meetings and ensure follow-through on action items
- Send confirmations, reminders, and follow-ups for scheduled meetings
- Adjust schedules as changes occur; ensure prep for upcoming meetings
Key Responsibilities – Personal Support
- Manage personal appointments, family calendars, and social commitments
- Arrange restaurant reservations, personal travel, and itineraries
- Run errands and handle personal shopping/gifting
- Schedule and oversee home service providers and deliveries
- Track renewals, birthdays, and other personal reminders
- Coordinate pet care
- Assist with personal events and birthday parties
- Provide occasional transportation support related to Sarah’s two children ages 9 and 15
- Assist with grocery shopping, maintain fresh snack prep, beverage and household supply stock
Qualifications
- Experience as a personal, family, executive assistant or similar role
- Excellent organization, time management, and communication skills
- Strong note-taking skills with the ability to follow through on tasks and deadlines
- Proficiency with Google Workspace and scheduling tools
- Calm under shifting priorities; proactive and detail-oriented
- Discreet and trustworthy with confidential information
- Valid driver’s license and reliable transportation
