Executive Assistant and Personal Assistant to the CEO (Event Industry)
Location: Dallas, Texas, USA (On-site, Monday to Friday, Hours Flexible in Consultation)
About the Role: We are seeking a highly skilled Personal Assistant who excels in a fast-paced, service oriented environment and anticipates needs well in advance. In this role, you’ll serve as the CEO’s right hand, streamlining day-to-day operations, managing a busy schedule, and handling deadlines with precision. This is an on-site position based in Dallas, Texas, requiring presence from Monday to Friday, with flexibility in hours as agreed upon to meet business demands.
Key Responsibilities:
- Act as primary support for the CEO, proactively managing schedules, meetings, and events.
- Anticipate challenges and remove obstacles for the CEO and key stakeholders to ensure smooth daily operations. Coordinate effectively with both internal teams and external vendors to maintain seamless communication and efficient problem-solving.
- Handle ad-hoc requests and prioritize responsibilities, especially under time sensitive conditions.
- Prepare documents, reports, agendas, presentations, and meeting materials
- Take charge of scheduling, calendar organization, and event planning with precision and forward-thinking.
- Assist in project management and follow-ups on tasks to ensure deadlines are met
- Remain calm and proactive under pressure, ready to adapt and solve issues as they arise.
- Assist with personal errands as needed
Qualifications:
- At least 4 years of experience as a Personal Assistant, Executive Assistant, Event Planner, or in a similar role requiring strong organizational skills and initiative.
- Demonstrated experience supporting senior executives with calendar management, planning, and multitasking in high-pressure settings.
- Excellent communication skills and experience managing relationships with multiple departments and external vendors.
- Ability to prioritize, adapt quickly, and respond effectively to shifting demands.
- Familiarity with JackRabbit class management software
