The Program Assistant plays a vital role in supporting the daily operations of the agency by serving as the front desk representative and providing high-level administrative support across programs. This position ensures smooth coordination of schedules, events, and communication while maintaining accurate records and delivering exceptional participant service. The Program Assistant works closely with team members, participants, and external partners, supporting program implementation through effective organization, communication, and operational assistance.

The Program Assistant plays a vital role in supporting the daily operations of the agency by serving as the front desk representative and providing high-level administrative support across programs. This position ensures smooth coordination of schedules, events, and communication while maintaining accurate records and delivering exceptional participant service. The Program Assistant works closely with team members, participants, and external partners, supporting program implementation through effective organization, communication, and operational assistance.
Duties include, but are not limited to:
- Maintain accurate program records, including files, databases, and participant information.
- Front Desk operations: Greet and welcome all visitors, clients, staff, and community partners with warmth and professionalism.
- Draft, review, and edit correspondence, reports, and presentations.
- Assist with preparing and distributing program materials and resources.
- Serve as a point of contact for program-related inquiries from staff, participants, and external partners.
- Coordinate communication between internal teams, partners, and stakeholders.
- Manage and maintain program schedules, including coordinating meetings, appointments, and event logistics.
- Support event logistics such as venue booking, catering, and participant registration.
- Assist in collecting, tracking, and reporting program-related data and outcomes.
- Help prepare reports for funders, stakeholders, and management.
- Maintain databases and spreadsheets to monitor program progress and results.
- Help with the day-to-day operations of the program, including managing supplies and resources.
- Answer multi-line telephone system, directing all calls to the appropriate person(s), take messages and provide accurate information in response to inquiries.
- Monitor and track budgets and expenditures for the program, ensuring adherence to financial guidelines.
The ideal candidate will have the following education and experience:
- High school diploma or GED required, associate or bachelor’s degree in business administration, social services, or a related field preferred.
- Minimum of 2 years of administrative, clerical, or program support experience, preferably in a nonprofit or human services environment.
- Demonstrated ability to speak and write in English and Spanish fluently
- Ability to interpret Family Focus programs to parents and the community
- Clerical Skills: Demonstrated ability to use Microsoft Word, Excel, Access, and email
- Ability to work effectively with infants, children, adolescents and adults
- Ability to be flexible and multi-task several things all at the same time if needed.
This is a full-time non-exempt position.
