DEFINITION
The Program Business Analyst is responsible for tracking and analyzing deductions, rebates, program payments, etc., and for entering program structure in detail into ERP and data management software to enable said tracking and analysis. Also responsible for generating reports on these programs and payments for other departments. Other responsibilities may also include providing reporting on both general and specific programs, assisting the Operations and Sales Teams with various programs including but not limited to customer incentive and rebate programs, freight programs, retail promotions, etc and communications with both internal and external stakeholders. This role requires strong organizational skills, attention to detail, computer and software proficiency and the ability to work collaboratively across departments to ensure customer satisfaction and efficient service delivery.
SUPERVISION RECEIVED
This position reports directly to the SVP of Operations.

Program and Deduction Management
- Program and promotion entry into ERP, spreadsheet and database
- Communicate with and work with accounts receivable to reconcile deductions, program and rebate payments, etc
- Communicate with Sales Team and Operations to insure all programs, deviations, rebates, etc are fully documented and properly entered for reconciliation
- Responsibility for this will extend across all customers and re-distributors both Foodservice and Retail
- Communicate with Customers on deductions that fall outside of normal programs that need to be challenged, and or repaid to request backup and repayment if necessary
Communications & Coordination
- Collaborate with AR and Sales Team to reconcile deductions and provide reporting to sales team and operations on program compliance and performance
- Be aware of transportation delays, service issues, and product recovery efforts to customers that may effect or incur deductions
- Make timely responses to customers, and all internal team members
- Be responsible for reporting needs for sales teams, brokers, and customers, including but not limited to:
- Reports on General and specific programs
- Reports on Program spend and compliance
- Reports on unresolved deductions
Issue Resolution
- Collaborate with accounts receivable to process credits for deductions, samples, programs and promotions
- Assist with research and resolution process related to customer deductions.
- Insure that all stakeholders are provided with the information necessary to understand ROI on programs that are extended

KNOWLEDGE, SKILLS, AND ABILITIES
- Depth in knowledge related to foodservice and retail business, standards, and strategies to engage customers and create brand loyalty.
- Depth of knowledge of the Foodservice and/or Retail Food Distribution Business and or how programs, incentives and rebates work and the importance of these in the marketplace
- Knowledge of accounting and ability to research and reconcile deductions, short pays and other discrepancies
- Effective communication skills and ability to pursue backup from customers in a tactful and professional manner
- Knowledge of order entry systems and tools, invoicing processes, and related software such as ERP and EDI, customer service software, CRM systems, and Microsoft Office Suite.
- Experience in the food manufacturing industry, including but not limited to, product knowledge, market trends, and customer expectations.
- Experience in the Consumer Product Goods (CPG), Foodservice, C-store, and the manufacturing space.
- Ability to negotiate with customers, vendors, and internal stakeholders to achieve mutually beneficial outcomes.
- Understanding of product life cycle management and sales and distribution.
- Understanding of supply chain processes, transportation logistics, and inventory management related to customer support.
- Ability to build and maintain strong relationships with customers, team members, and other departments.
- Ability to identify, analyze, and resolve customer issues efficiently, ensuring a positive outcome for both the customer and the company.
- Strong leadership skills to manage, motivate, and guide a team towards achieving performance goals.
- Excellent verbal and written communication skills, capable of effectively interacting with customers, sales teams, and other departments.
- Effective time management skills, with the ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
