Job Description
About the Role
We’re looking for a detail-oriented and proactive Project Controls Coordinator to join our Seattle-based General & Administrative (G&A) team. In this role, you’ll provide financial and administrative support to Project Managers and the Finance team to help ensure accurate project tracking, budgeting, and invoicing. This is a great opportunity to deepen your experience in project financial operations within a professional services environment.

Responsibilities
Project Financial Coordination
- Assist Project Managers with tracking budgets, project hours, and costs to support financial visibility
- Enter and maintain project data in our ERP system (BST)
- Prepare and submit timely draft invoices in collaboration with the Finance team
- Monitor outstanding receivables and support resolution of billing issues
Process & Systems Support
- Help maintain and improve internal tools such as templates, checklists, and documentation
- Assist with gathering financial data for reporting and internal audits
- Support ongoing efforts to streamline project controls and improve workflows
Learning & Collaboration
- Participate in training and cross-functional meetings to build understanding of financial and operational processes
- Collaborate with Project Managers, Finance, and Administrative team members to support project success
- Offer ideas for process improvements and contribute to a positive, solutions-focused team culture
Qualifications
Qualifications
- 1–3 years of experience in an accounting, administrative, or project coordination role
- Associate degree or coursework in accounting, business administration, or a related field preferred
- Comfortable using Excel and working with data entry and basic reporting tools
- Comfortable learning new tools and systems; prior experience with ERP platforms such as BST is a plus
- Strong attention to detail and organizational skills
- Clear communication skills and ability to collaborate across teams
- A proactive, curious mindset with a desire to grow in a finance or project operations role
- Experience in the AEC (Architecture, Engineering, or Construction) industry or other project-based professional services is highly preferred
Additional Information
Physical Demands and Work Environment:
- Duties are typically performed in a normal office environment while sitting at a desk or computer table
- Ability to actively engage with a computer for several hours per day and communicate over the telephone or virtual meeting platforms.
- May occasionally need to lift items up to 15 lbs.
- This is an in-office role based in downtown Seattle with flexible hours between 7:00 am and 5:00 pm

Compensation & Recognition
This role is designed for early-career professionals, with a typical salary range of $60,000–$72,000, depending on your skills, experience, and background. Individual and team success is recognized through performance-based bonuses at the Reporting Center level.
Work Authorization: This position is not eligible for visa sponsorship or transfer. Candidates must be authorized to work in the United States without the need for employer-sponsored visa support now or in the future.
