Bascom Hunter is seeking a detail-oriented and highly organized Proposal & Documentation Coordinator to join our growing team in Baton Rouge. In this in-person role, you’ll work closely with engineers, business development professionals, marketing staff, and company leadership to support proposals, manage contract documentation, and track business development activities.

Key Responsibilities:
· Coordinate and support the development, formatting, and submission of proposals in response to government and commercial solicitations
· Maintain version control and organization of all proposal-related and contractual documentation
· Assist with the preparation of contract documents, teaming agreements, and non-disclosure agreements
· Organize and manage content libraries and templates for proposal and business development use including capability statements, corporate presentations, and executive summaries
· Track deadlines, deliverables, and compliance requirements across multiple concurrent efforts
· Work closely with engineering, finance, and executive teams to compile and edit technical and management volumes
· Track new business leads and maintain accurate, up-to-date records of opportunity status in the CRM
· Update and log activities, notes, and customer interactions in CRM related to new and existing opportunities
· Assist in managing data calls, resumes, past performance, and other proposal content
· Support business development team with research, administrative tasks, and scheduling as needed
· Capture weekly team meetings communicating division wide BD activity with the team
· Ensure all documentation meets internal quality standards and external compliance requirements. Ensure consistency in tone, branding, and positioning across all customer-facing materials
· Ensure all graphics, images, tables and charts are formatting to the proper standards following brand guidelines
Required Qualifications:
· Excellent attention to detail and organizational skills
· Strong written and verbal communication skills
· Proficiency with Microsoft Office Suite, especially Word, Excel, and PowerPoint
· Experience using CRM tools such as HubSpot (or similar) to manage leads and track activity
· Ability to manage multiple priorities and deadlines in a fast-paced environment
· Experience with file management systems and collaborative editing
· Self-motivated and proactive in identifying and solving problems
· US Citizenship
Preferred Qualifications:
· Prior experience in a proposal writing, contract administration, or technical documentation role
· Familiarity with government contracting or federal acquisition processes
· Experience supporting business development or sales operations
· Working knowledge of Adobe Acrobat, SharePoint, and CRM integrations
