Position Summary:
We are seeking a detail-oriented, organized, and proactive Proposal Coordinator to support the development and submission of high-quality proposals in response to Request for Proposals (RFP's), Requests for Information (RFI's), and other procurement documents. The Proposal Coordinator plays a critical role in managing timelines, coordinating inputs from cross-functional teams, and ensuring compliance with submission requirements. This position is ideal for a strong communicator with project management skills and a passion for producing compelling, customer-focused content.
Key Responsibilities:
- Coordinate and manage the end-to-end proposal development process, including timelines, deliverables, and team communications.
- Review RFP's, RFI's, and related documents to identify submission requirements and communicate them to key stakeholders.
- Maintain and update proposal content libraries and templates for efficient reuse of information.
- Facilitate and lead proposal kickoff meetings and regular check-ins to ensure team alignment and progress.
- Work closely with subject matter experts, technical writers, and graphic designers to gather and incorporate content.
- Edit, format, and proofread proposal documents for clarity, consistency, and compliance with customer requirements.
- Ensure timely submission of proposals and manage any post-submission documentation or clarification requests. Track proposal metrics and outcomes to support continuous improvement in the proposal process.
Requirements:
- Education: Bachelor's Degree in English, Communications, Marketing, Business, or a related field (or equivalent experience) preferred.
- Experience: 2-4 years of experience in proposal coordination, technical writing, or project coordination, preferrable in a government contracting, corporate, or professional services environment.
- Knowledge of Contract Law: strong understanding of contract law principles, contract drafting, and interpretation. Familiarity with regulatory frameworks relevant to the organization is desirable.
- Attention to detail: excellent attention to detail, with the ability to review contracts meticulously, identify potential issues, and ensure compliance with contractual obligations.
- Analytical Skills: strong analytical and problem-solving skills to assess contract risks and develop effective solutions.
- Communication and Collaboration: exceptional interpersonal and communication skills to collaborate effectively with internal stakeholders, external parties, and legal teams. Excellent Oral and written communication skills are needed to write agreements, documentation, and reports.
- Organizational Skills: ability to prioritize and manage multiple contracts and deadlines simultaneously, maintaining accurate records and documentation.
- Integrity and Ethics: demonstrated commitment to ethical conduct, confidentiality, and maintaining the highest professional standards.
- Technology Proficiency: proficiency in contract management software, document management systems, and Microsoft Office Suite. Adaptability: ability to adapt to changing business needs, work in a fast-paced environment, work under pressure, and multitask to meet tight deadlines.
