- Assisting with client/matter maintenance, including receiving and filing engagement letters, uploading and starting work processes for outside guideline review, and closing matters.
- Coordinating with the Closed Files Manager, as necessary, to assist with the management of onsite and offsite storage.
- Working with the Conflicts Attorneys and Senior Legal Records Management to assist with reviewing client files eligible for retention deposition, drafting and sending correspondence regarding client file disposition and coordinate proper disposition of client files.
- Generating reports to maintain accurate information to track client's retention and disposition deadlines.
- Assisting with audits to ensure accuracy and compliance with firm policies.
- Assisting with the management, maintenance, and auditing of litigation holds.
- Assisting with the electronic and paper document archiving process, including notification, collection, archiving and disposition, and compliance requests related to personnel departures including client data collection and disposition.
- Assisting with the creation and dissemination of client record processes and policies.
- Assisting the Office of General Counsel with firm compliance with the Health Insurance Portability and Accountability Act of 1996 (HIPAA) and data privacy laws such as the General Data Protection Regulation (GDPR) regulations in EU law on data protection and privacy.
- Assisting with the declination of firm representation inquiries.
- Assisting with record and Client File related projects as needed.
- Performing other records management duties as assigned; and
- Providing administrative support as needed to the Conflicts Department.
This is a non-exempt position. The hours are 9:00 a.m. - 5:30 p.m. Overtime may be required. The ability to lift and carry up to 25lbs. is required. After successfully completing the introductory period, the position will be eligible for telecommuting up to three days a week.
The anticipated annual salary range for this position is $60,000 - $75,000. The final offer amount is dependent on a variety of factors including, but not limited to, years of experience, education, and other relevant skills and qualifications.
