J&J Truck Equipment is looking for a sales administrative assistant who will serve as an intermediary between multiple departmental functions to help ensure a smooth and consistent process flow from the quoting stage through final invoicing. The assistant will act as a liaison between purchasing, sales, operations, and accounting to resolve discrepancies or clarify requirements.
Essential Duties and Responsibilities include the following:
- Assists inside sales with functions including master file creation and maintenance, scheduling and leading contract reviews, documenting outcomes, ensuring follow-up on all action items questioned in the review, and making necessary changes to sales order and work order routers as needed.
- Assists with order processing, working with the operations manager to ensure that all major components are included in the sales order and associated router, and working with the purchasing department and buyer to ensure those items are ordered accordingly, noting delivery dates as they become available.
- Makes manual purchase requisitions and directs changes to sales order routers and templates as required.
- Maintains detailed up to date records in GSS or Excel format for large fleet orders in a central location for all departments to access.
- Accounting functions, such as closing and daily balancing of front counter receipts, and counter auditing.
- Assists operations manager with weekly work order schedule maintenance and adjustments as needed.
- Assist with payroll daily balancing as needed.
Preferred Qualifications:
- Prior experience with ERP systems such as Global Shop or similar manufacturing software.
- Familiarity with truck equipment, parts, or upfitting processes is a plus.
- Experience in a sales support or administrative coordination role in a manufacturing or service industry.
- Strong math and reasoning skills are a must for accounting and balancing functions.
- Strong computer skills are required for navigating other systems and software, and compiling the necessary spreadsheets and documents for master file maintenance and order processing requirements.
- Ability to work in conjunction with and in support of multiple departments.
