Sales Support Administrator
Job description
Join us as a Sales Support Administrator and play a key role in keeping our sales process organised, accurate and moving forward. You’ll provide essential administrative support across CRM management, RFx and quotation documentation, revision control, PO validation, sales-order entry and maintaining accurate, auditable order records. Initially, the role will also support day-to-day sales coordination activities to help keep opportunities progressing until a dedicated Sales Coordinator is appointed.
Your Mission:
- Register and maintain opportunities in Salesforce / CRM and the RFx response register.
- Maintain controlled customer, quotation, BOM, PO and order files with clear revision history.
- Capture due dates, customer entity, currency, Incoterm, delivery address and commercial metadata.
- Prepare / issue quotation documentation once technical and commercial content is approved.
- Validate incoming Purchase Orders against the latest accepted quotation and escalate discrepancies.
- Create sales-order entries in the applicable ERP / CRM once order acceptance is approved.
- Maintain order acknowledgement, manufacturing-requisition and commercial document records.
- Support auditability by ensuring approvals, exceptions and customer communications are filed.
- During the interim structure, maintain opportunity schedules, action registers, clarification trackers, document follow-up, meeting actions and routine readiness follow-up; escalate prioritisation or gate decisions to the Sales Lead.
Your Profile:
- National Diploma or bachelor's degree in Business Administration, Commerce, Sales Administration, Supply Chain, Finance or a related field
- Three to five years' experience in sales administration, quotation administration, customer service, order processing or commercial coordination in an engineering, mining, industrial or technology environment.
- Practical experience validating customer purchase orders against quotations, capturing sales orders, maintaining revision-controlled records and supporting internal approval workflows.
- Experience working with multiple currencies, Incoterms, delivery addresses, customer master data and audit-ready commercial documentation.
- Working knowledge of Microsoft Dynamics 365 or a comparable CRM/ERP platform; experience with Sage Pastel or Odoo will be advantageous.
- Competence in CRM opportunity administration, customer and product master data, quotation and sales-order processing, purchase-order matching, workflow approvals and document attachment control.
- Strong working knowledge of Microsoft Outlook, Word, PowerPoint, Teams and SharePoint/OneDrive; experience with Power BI is advantageous
