The Scheduler is responsible for coordinating and maintaining schedules for AMADA Senior Care clients and staff. A critical component of this role is relationship building by demonstrating the agency’s culture of compassion, accountability, and results by displaying the highest standards of integrity, superb follow-through, consistency, first-rate customer service, and exceptional caregiver and client satisfaction.
QUALIFICATIONS
- Prefer at least 2 years experience with in-home service scheduling experience (CNA is also desirable)
- Intermediate Level of Computer Literacy, especially ability to master more than one software application necessary for day-to-day work·
- Experience with a scheduling software, people management platform, or HR management of 100+ employees is desirable
- Flexibility to work some weekends and evenings is required
- Possesses the ability to think critically and build a wide array of schedules and shift types, manage the schedules and make critical adjustments on-the-fly
- Understands the importance of consistency and forward-thinking as it relates to building a schedule out for weeks and months to come
- Demonstrates decisiveness, self-motivation, flexibility, and the ability to multi-task and a strong potential for leadership
- Must possess the ability to teach, train and lead others in the use of Axis Care Mobile application
- Experience working in a high-intensity environment with unpredictable challenges and demands
- Willing to learn Amada Senior Care’s scheduling software and adjust to changes in platforms and new software enhancements
- Excellent telephone and written communication skills
- Experience working with clients in a professional setting
- Detail-focused and able to stay organized
- Proactive when getting assignments done with a sense of urgency
- Strategic thinking and problem-solving/puzzle-solving skills
RESPONSIBILITIES
- Demonstrate support for the agency’s mission statement
- Understands and can articulate the differentiators Amada offers Caregivers and Clients
- Communicate clearly and consistently with All Caregivers using the Axis Care Platform (text messaging) and Dial Pad Phone (text and calls)
- Schedule shifts by matching caregiver qualifications and availability to clients’ needs
- Communicate new assignments and/or schedule changes to caregivers and clients
- Identify and address scheduling issues (i.e. call offs, no shows etc.)
- Report to Supervisor who is the best candidate for Caregiver of the Month and rationale
- Report on Overview of Scheduling successes and challenges at weekly leadership meetings
- Work under time pressure and manage multiple demands simultaneously
- Follow-up with prospective clients over the phone and complete Intake Form
- Evening and weekend on-call work will be required
- Some caregiving shifts will be required to cover schedule gaps
- Must be able to routinely conduct interviews with prospective caregiver applicants
- Coordinate with the Recruiting Manager to fill new client schedules and needs
- Assists with the referral/intake process for clients needing services
- Maintain confidentiality of client, personnel, and agency operation
