SUMMARY STATEMENT & PURPOSE: The scheduling supervisor oversees the day-to-day staffing and operations of the Spokane Eye Clinic Scheduling teams to ensure a culture of patient-centric service. They work collaboratively with Physicians, Lead technicians, Revenue Cycle Management Departments, and clinic leadership team to ensure physician scheduling protocols are followed, schedules are full, and patients enjoy a positive experience with the Spokane Eye Clinic. Supports smooth patient flow and achievement of clinic wide initiatives around the revenue cycle, patient satisfaction, and regulatory compliance.
ESSENTIAL DUTIES & RESPONSIBILITES:
- Oversee and guide a diverse team, fostering a positive and collaborative work environment. Responsible for hiring, training, mentoring, and performance management to include evaluations and appropriate corrective action up to and including recommending termination, to ensure team members reach their full potential and align with the company’s strategic goals.
- Oversees day-to-day actions of staff to ensure established protocols and policies are followed, tasks are completed effectively and efficiently, and assigns tasks and directs staff to ensure daily objectives are accomplished effectively and efficiently.
- Monitors staff attendance and timekeeping and ensures timecards are accurate with the goals of payroll accuracy, maximizing physician/staff productivity, and meeting established labor budget targets.
- Ensure department performs key performance indicators (call time, hold time, abandonment rate, referrals completed, PM Tasking for multiple task types).
- Plans for and facilitates regular department / team meetings to include preparation of the agenda and related materials and ensures timely follow-up on action items identified during the meeting.
- Identifies and provides content for departmental policies and procedures and protocols to increase operating efficiencies and ensure compliance with regulatory requirements and standards.
- Works with the Manager to develop and monitor staffing assignments and performance metrics to ensure the staffing model effectively meets the organizational demand and employees are working to their highest and full potential.
- Collaborates with the Scheduling Services Manager to update and maintain appointment scheduling education and orientation manuals, departmental policies and procedures, and appointment scheduling protocols.
- Rounds frequently with providers and clinical staff to gather feedback and identify areas for improvement.
- Investigates discrepancies in scheduling protocols that have led to clinical area and/or patient complaints.
- Adheres to and enforces all company policies and procedures.
Requirements
MINIMUM QUALIFICATIONS:
- Three (3) years medical training and/or related experience.
- Knowledge of word processing software Excel and spreadsheet software Practice Management, EHR, and Internet software.
PREFERRED QUALIFICATIONS:
- College degree.
- Supervisory experience in a medical office setting or medical business office setting (preferably with scheduling/registration teams).
- Familiarity with HR employment law, recordkeeping, and confidentiality fundamentals.
