Job Summary:
We are seeking a detail-oriented and proactive Service Coordinator to join our team. This role is key to ensuring smooth communication between customers, tenants, subcontractors, and internal teams. The ideal candidate will be responsible for managing service-related communications, coordinating schedules, supporting billing operations, and handling subcontractor onboarding documentation.
Key Responsibilities:
- Respond promptly and professionally to customer emails regarding the status of services and work orders.
- Contact tenants to schedule service appointments and coordinate access to properties.
- Collect, organize, and prepare service and project data for accurate invoicing.
- Track completed work and support the billing team with timely and organized documentation.
- Send, collect, and file subcontractor agreements for new and existing subcontractors.
- Maintain accurate records of all communications, schedules, and project updates.
- Serve as a liaison between field staff, subcontractors, and customers to ensure clear and consistent communication.
- Assist with general administrative duties as needed to support project execution and client satisfaction.
Qualifications:
- Proven experience in an administrative, service coordination, or scheduling role (property management or contractor services experience a plus).
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Proficiency in Microsoft Office and/or project tracking software (e.g., MaintainX, QuickBooks, or equivalent).
- Ability to manage multiple priorities and remain calm under pressure.
- Detail-oriented with a proactive and problem-solving mindset.
Preferred Qualifications:
- Experience in property maintenance, construction, or service-based industries.
- Familiarity with invoicing or subcontractor onboarding processes.
Job Type: Part-time
Pay: $22.68 - $27.31 per hour
Expected hours: 10 – 20 per week
