About the Role
We're looking for a part-time Office Manager to keep our Boalsburg headquarters running smoothly. You'll be the on-site point person for the building - handling mail and check deposits, coordinating with our facilities vendors, keeping the office stocked, and helping plan the company events that bring our team together. This is an independent role for someone who likes being organized, enjoys being the go-to person, and takes pride in a well-run office.
This position is on-site Monday through Thursday, about 20 hours per week. Typical hours are 10:00 a.m. to 3:00 p.m., or 10:00 a.m. to 4:00 p.m. with a lunch break. This is a part-time role and is not eligible for company benefits.
What You'll Do
- Open, sort, and route incoming mail, sending invoices and payments to Accounts Payable and Accounts Receivable.
- Scan and deposit customer checks using our on-site check scanner, following finance procedures with care and confidentiality.
- Manage the main office phone line and voicemail.
- Serve as the main contact for building vendors, including cleaning, pest control, landscaping and snow removal, elevator service, electrical, security and fire systems, and the copier.
- Be on-site to let vendors in for scheduled service and coordinate repairs or service calls as needed.
- Track recurring service schedules and annual inspections so nothing falls through the cracks.
- Handle light seasonal upkeep, including mowing a small hill area outside the building in summer.
- Place weekly orders for office supplies and snacks, plus regular orders for coffee and janitorial supplies.
- Schedule workspace for out-of-town employees and guests visiting the office.
- Manage public reservations for our on-site pavilion (seasonal).
- Plan and coordinate company events, including all-hands lunches, the annual holiday party, and a summer team event.
- Arrange catering and logistics for leadership and department lunches as needed.
What You'll Bring
- 1–2 years of office management, office administration, or similar experience.
- Strong organization and follow-through - you keep track of schedules, vendors, and details without being reminded.
- Comfort working independently as the only on-site operations person.
- Clear, friendly communication with employees, vendors, and members of the public.
- Trustworthiness and discretion when handling checks and financial documents.
- Comfort with basic computer tools, including email, Microsoft Office, and online ordering portals.
- Ability to do light physical tasks, such as moving supplies.
- Interest in a consistent, part-time, on-site schedule.
- Notary Public commission is a plus but not required.
Pay Range: $20.00 - $25.00 an hour.
Pay is commensurate with experience, knowledge, skills, and abilities.
