SUMMARY
Under the direction of the Senior Operations Officer, the Deposit Operations Manager provides day-to-day leadership and management for all activities of the Deposit Operations team. This manager collaborates with stakeholders at all levels of the company to effectively address operational business requirements and ensure service level objectives are met. Additionally, this manager plays a key role in ensuring the maintenance of appropriate and accurate changes and updates within our Core system.
Serving as a main point of contact for vendor relationships, the Deposit Operations Manager identifies product opportunities, trends, and issues. Their responsibilities extend to deposit activities, Core system and deposit product specs, exception processing services, and overdraft processes.
A strong attention to detail and exceptional customer service orientation are essential qualities for a successful Deposit Operations Manager. Utilizing their keen understanding of deposit products, applications, and relationships inherent in both, this manager contributes greatly to the company’s efficient deposit operations.

ESSENTIAL DUTIES
Direct day-to-day deposit operations, including deposit support, IRAs, HSAs, exception processing, overdraft operations, Branch Capture, and other assigned functions.
Ensure daily processing, balancing, exception resolution, and Federal Reserve Bank returns are completed accurately and within established deadlines.
Oversee the administration and tracking of deposit products and promotions.
Serve as an escalation point for complex deposit-account, processing, and customer-service issues.
Monitor workflows, volumes, service levels, operational exceptions, and recurring processing issues.
Oversee abandoned-property reporting and backup-withholding processes in accordance with applicable requirements.
Lead, coach, and develop the Deposit Operations team to achieve departmental and organizational objectives.
Establish clear responsibilities, priorities, service expectations, and performance standards.
Manage staffing needs, work assignments, performance evaluations, compensation recommendations, hiring, corrective action, training, and professional development.
Promote accountability, collaboration, engagement, and respect throughout the department.
Maintain appropriate succession and cross-training plans for critical functions.
Maintain effective controls over deposit operations and promptly address identified weaknesses or exceptions.
Ensure departmental compliance with applicable laws, regulations, company policies, and documented procedures.
Coordinate timely research and response for fraud alerts and other potentially suspicious or high-risk operational activity.
Support audit, examination, compliance-review, risk-assessment, and corrective-action activities.
Serve as the primary Deposit Operations liaison for Core system specifications, deposit-product settings, and related system changes.
Review, test, approve, document, and communicate system updates, product changes, and new functionality.
Ensure implementation activities include appropriate testing, validation, authorization, training, and post-implementation review.
Maintain accurate documentation for critical system settings, operational processes, and departmental controls.
Identify inefficiencies, operational risks, and opportunities for automation or standardization.
Develop and implement sustainable procedures, controls, and workflow improvements.
Lead or participate in cross-functional projects involving deposit products, systems, operations, and customer service.
Establish project objectives, responsibilities, testing requirements, documentation, communication plans, and implementation timelines.
Assume responsibility for additional projects as assigned.
EDUCATION & CERTIFICATIONS
- Bachelor’s degree in Business Administration, Finance, a related field, or a commensurate combination of education and experience required.
- A minimum of five years of increasing responsibility within the deposit support area of a financial institution.
MINIMUM REQUIREMENTS
Thorough understanding of deposit products, deposit applications, and the various regulations and relationships inherent in both.
A highly organized approach to work, with the ability to clearly define inefficiencies, offer appropriate solutions, and document processes.
Confident decision-making abilities and the skill to use sound judgment about the timing of choices; particularly the ability to make informed, responsible decisions with limited information or under considerable amounts of stress.
Strong critical-thinking skills and the ability to analyze potential project outcomes with the adaptability to redirect attention as needed to meet targets and deadlines.
Leadership experience and the ability to manage a team of direct reports.
Excellent communication skills and the ability to communicate effectively, verbally and in writing, with internal and external customers at all levels.
A positive and proactive approach to work, demonstrating enthusiasm, adaptability, and the ability to maintain composure and professionalism in stressful or adverse conditions.
Proficient computer literacy, including comfort with Microsoft systems and Office Suite.
Ability to complete standard calculations and apply basic mathematical concepts in practical situations.
Intermediate typing skills to meet the needs of this position.
Current driver’s license and reliable transportation with appropriate insurance coverage; additionally, the ability to drive occasionally in the course of performing assigned duties and responsibilities.
The ability to work with minimal or no supervision.
ADDITIONAL QUALIFICATIONS
- Leadership experience strongly preferred.
