Overview

Join our team as an Executive Assistant to Senior Executives and support Department of the Navy senior leadership by managing executive calendars, correspondence and high-level meetings. You will coordinate executive conferences and VTCs and prepare briefing materials, ensure senior leaders have what they need to make timely decisions.

Work Schedule and Location:

On-Site: This full-time on-site position will work Monday through Friday at the Washington Navy Yard in Washington, DC,

Responsibilities

  • Manage complex calendars for Senior Executive Service and senior technical leaders, setting priorities and rescheduling or declining as needed.
  • Plan and run high-level meetings, conferences and VTCs: agendas, invitations, minutes, and action-item tracking to closure.
  • Draft and format official correspondence, memoranda and technical reports to Navy correspondence standards.
  • Build tracking tools for high-priority tasks and deliverables so deadlines are met.
  • Assemble presentation materials from multiple data sources and prepare responses to external inquiries.
  • Arrange official travel in the Defense Travel System (DTS) and maintain records to Navy records-management standards.
  • Handle sensitive and classified information and escort visitors in secure areas.
  • Solve administrative problems independently and recommend improvements to leadership.

Qualifications

Required:

  • Associate's degree or equivalent.
  • 6+ years of administrative experience.
  • Prior experience directly supporting a Senior Executive Service (SES) member or executive-level leader.
  • Experience formatting, processing and maintaining official documents and records.
  • Proficiency in Microsoft Outlook, Word, PowerPoint and Excel.
  • Strong scheduling and email correspondence skills.
  • Sound independent judgment; able to work independently and collaboratively under strict deadlines.
  • Active SECRET security clearance, maintained throughout employment

Desired:

  • Bachelor's degree.
  • Defense Travel System (DTS) experience.
  • Working knowledge of Navy correspondence (SECNAV M-5216.5) and records management.
  • Experience supporting engineering or technical leadership in a DoD environment.
  • Active Common Access Card (CAC).
