Executive Assistant
Job description
We are seeking an Executive Assistant to serve as a trusted partner to one of our executive team members. You will keep their calendar, travel, meetings and events running smoothly, freeing them to focus on leading the business. Reporting directly to this executive, you will also work closely with the broader leadership team, board members, government partners and senior guests.
The right candidate brings experience supporting C-suite leaders and understands how government and military organizations operate, including their protocols and the security clearance process. This high-trust, hands-on role calls for discretion and sound judgment, along with the adaptability and flexibility to handle shifting priorities with ease.
Essential duties and responsibilities
- Manage the executive team member's calendar and day-to-day schedule, balancing competing priorities and resolving conflicts before they arise.
- Remain accessible and responsive outside normal business hours, including evenings and weekends, when the executive team member's needs require it.
- Serve as the first point of contact for the executive team member's office, screening calls, email and visitor requests with tact and discretion.
- Plan and book complex domestic and international travel, including flights, lodging, ground transportation, visas and detailed itineraries.
- Schedule and coordinate internal and external meetings, handling logistics and preparing agendas, briefing materials and follow-up action items.
- Host senior-level executives, government officials and military leaders, managing visit logistics and protocol.
- Create, submit and reconcile the executive team member's expense reports accurately and on time, in line with company policy.
- Handle confidential and highly sensitive information with complete discretion, and maintain organized, secure records.
- Build strong working relationships with senior executives, their assistants, board members and external partners.
- Manage multiple tasks at once, and pivot quickly as priorities, schedules and plans change.
- Support the broader team and step in wherever needed as a collaborative team player.
Required qualifications
- 3+ years of experience as an executive assistant directly supporting C-suite executives.
- Availability outside normal business hours, including evenings and weekends, and a strong commitment to being accessible when needed.
- Experience working in a confidential or highly sensitive environment, with a solid understanding of how to handle sensitive information and the basics of protecting confidential information. A security clearance is not required.
- Ability to pivot quickly and manage multiple, changing tasks at the same time without losing track of details.
- Comfort operating in unstructured environments with a high degree of ambiguity, bringing order and making sound decisions without step-by-step direction.
- Ability to work well with many different people, including managing relationships with high-level executives and their administrative staff.
- Working knowledge of government and/or military procedures, protocols and etiquette.
- Proven experience planning domestic and international travel.
- Experience arranging catering and logistics for meetings and events, and hosting senior-level executives.
- Experience creating, filing and reconciling expense reports.
- Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) and video-conferencing tools.
- Excellent written and verbal communication skills.
- Ability to work on-site in our Reston, VA office on a hybrid basis
Desired qualifications
- A passion for growth and a desire to keep learning and taking on new challenges.
- Familiarity with the security clearance process.
- Prior experience in a government agency, military command, or defense or government contracting firm.
- Military service, or experience supporting general/flag officers or Senior Executive Service (SES) leaders.
- Bachelor's degree, or an equivalent combination of education and experience.
- Experience with Concur or similar travel and expense systems.

This range reflects Seekr’s good faith estimate of what it expects to pay for this role at the time of posting. Placement within the range depends on a number of factors, including but not limited to geographic location, applicable labor categories under Seekr’s federal government contracts, relevant prior work experience, specific skills, education, and certifications. This role may also be eligible for annual bonus, equity, other other incentive compensation.
