Facilities Operations Analyst
Job description
The role also coordinates administrative readiness requirements for new and existing locations, including business licenses, operating certificates, vehicle titles, utility transfers, and related records. This position supports platforms such as Order.co, MonitorQA, Motus, and Wash Count Pro and partners across Facilities Operations, Integration, Warehouse, Field Operations, Finance, Tax, Legal, and IT. The role provides information and coordination for tax and compliance matters but does not serve as the organization’s tax, legal, or regulatory authority.
Essential Functions (Other Duties as Assigned)
- Develop, maintain, and distribute recurring and ad hoc reports related to Order.co adoption, warehouse operations, MonitorQA, Motus, Wash Count Pro, company compliance requirements, and other facilities or integration programs.
- Analyze operational data to identify trends, exceptions, adoption gaps, service issues, and opportunities for process improvement.
- Validate and reconcile data across systems, maintain reporting definitions and documentation, and escalate data-quality or control concerns.
- Build and maintain dashboards, scorecards, trackers, and leadership reporting that provide visibility into facilities, warehouse, integration, and readiness activities.
- Coordinate business licenses, permits, operating certificates, vehicle titles, renewals, and related documentation required to support ongoing business operations.
- Maintain compliance calendars, document repositories, status trackers, and escalation routines for licenses, certificates, titles, and other operating requirements.
- Compile information and support documentation requests related to taxes, registrations, and operating certificates in partnership with Finance, Tax, Legal, and other responsible subject-matter experts.
- Coordinate utility establishment and transfer activities for acquisitions, openings, integrations, and business transitions, including water, electric, gas, and other required services.
- Support the administration, development, testing, documentation, and adoption of Wash Count Pro, MonitorQA, and other assigned operational platforms.
- Monitor platform usage and reporting compliance, provide user support, document requirements, and coordinate system issues or enhancement requests with IT and vendors.
- Support integration and site-readiness activities by maintaining plans, trackers, documentation, open items, deadlines, and cross-functional follow-up.
- Partner with Facilities Operations, Warehouse, Integration, Field Operations, Finance, IT, and external vendors to resolve reporting, system, documentation, utility, and readiness issues.
- Develop standardized reporting routines, process documentation, job aids, and controls that improve data accuracy, visibility, and operating consistency.
- Performs other duties as assigned.
Education and Experience
- Bachelor’s degree in Business Administration, Operations, Finance, Data Analytics, Facilities Management, Supply Chain, or a related field preferred; equivalent experience may be considered.
- Three or more years of experience in business analysis, operational reporting, facilities support, integration support, compliance administration, or a related function.
- Experience developing reports, dashboards, scorecards, and data-driven operational insights.
- Experience supporting multi-site, retail, service, automotive, hospitality, or other distributed operations environments preferred.
- Experience coordinating business licenses, utility transfers, operating documentation, or acquisition and new-site readiness activities preferred.
- Experience with Microsoft Excel, reporting tools, procurement or warehouse platforms, facilities systems, or operational technology platforms preferred.
Knowledge, Skills, and Abilities
- Strong analytical skills with the ability to validate data, identify trends, investigate exceptions, and communicate actionable insights.
- Advanced proficiency in Microsoft Excel and working knowledge of dashboards, reporting tools, and business systems.
- Strong attention to detail and ability to maintain accurate records, compliance calendars, documentation, and reporting controls.
- Ability to learn and support platforms such as Order.co, MonitorQA, Motus, Wash Count Pro, and related or successor systems.
- Strong organizational and project-coordination skills with the ability to manage multiple priorities, deadlines, and stakeholders.
- Clear written and verbal communication skills with the ability to translate operational information into concise reports and updates.
- Sound judgment and ability to distinguish between analytical or administrative support and matters requiring escalation to Tax, Legal, Finance, IT, or other subject-matter experts.

- Must be able to remain in a stationary position for extended periods while working at a computer.
- Must be able to operate a computer, phone, and other standard office equipment.
- Must be able to communicate effectively in person, by phone, and through electronic communication.
- Must be able to review, analyze, and prepare reports, spreadsheets, dashboards, presentations, and written communication.
- May occasionally need to move or lift items up to 15 pounds.
- Travel required up to 10% based on business needs, including occasional travel to field locations, business meetings, training sessions, or operating reviews.
