Position Overview
We are looking for an experienced and organized Office Manager to manage administrative, facilities, executive support, IT assets, and financial coordination activities.
This is a full-time remote position based in the Plano, Texas area. While the role is primarily remote, the employee may be required to visit the company's office in Plano from time to time based on business and operational requirements, including meetings, office-related activities, vendor coordination, or other needs.

Key Responsibilities
Administrative & Facilities Operations
- Physical Office Management: Managing day-to-day facilities, vendors, building maintenance, service agreements, and office supply procurement.
- Mailing & Logistics: Handling physical mail, packages, deliveries, and corporate shipping protocols.
- Office Policies & Budget: Maintaining workplace safety guidelines, enforcing operational standards, and tracking petty cash or local expense records with Finance.
Executive Support & Calendar Operations
- CEO Calendar & Scheduling: Managing high-volume meeting requests, prioritizing internal vs. external demands, and resolving schedule conflicts proactively.
- Travel & Itinerary Management: Booking domestic/international flights, accommodations, transportation, and creating detailed trip agendas.
IT Asset & Inventory Management
- Laptop & Hardware Inventory: Tracking equipment assignment, returns, device conditions, and collaborating with the internal IT team
Financial & Payment Coordination
- Invoice & Vendor Payments: Processing incoming administrative invoices, tracking vendor billing cycles, and submitting expense reports.
- Budget Alignment: Monitoring monthly operational expenses against approved budgets and working with the Finance department to resolve discrepancies.
Qualifications & Skills
- Bachelor's degree in Business Administration, Management, Hospitality, or a related field preferred.
- 10+ years of experience in office management, executive administration, facilities management, or a similar role.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Experience managing executive calendars and coordinating complex schedules.
- Experience with domestic and international travel coordination.
- Strong vendor management and coordination skills.
- Experience managing office supplies, facilities, and administrative operations.
- Good understanding of expense tracking, invoice processing, and budget coordination.
- Experience managing IT assets and inventory is preferred.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office/Google Workspace and common scheduling and collaboration tools.
- Ability to work independently in a remote environment while coordinating effectively with teams and vendors.
- Ability and willingness to periodically travel to and work from the company's Plano, Texas office when required.
Compensation & Benefits
This is a full-time position with an annual base salary of $50,000, along with eligibility for the company's 401(k) plan and employee benefits, subject to the applicable plan terms and eligibility requirements.
