Position and Salary

The Attorney General’s Office is recruiting for a permanent full time Office Support Supervisor 2 in the Medicaid Fraud & Abuse Division. This position is located in Olympia, Washington, and is represented by the Washington Federation of State Employees (WFSE).

Office Support Supervisor 2 Salary Range (44): $48,048 - $64,512 annuallyThe base pay offered will take into account internal equity and may vary depending on the preferred candidate’s job-related knowledge, skills, and experience.

About the Medicaid Fraud & Abuse Division:

The work of the Office’s Medicaid Fraud & Abuse Division (MFAD) focuses on both criminal and civil law enforcement. The 75% federally funded MFAD‘s mission is combating provider fraud, abuse and neglect in residential facilities and involving Medicaid recipients in non-institutional settings. MFAD’s Headquarters is located in Olympia, Washington with some team members also located at the AGO's Spokane Office and Seattle Office. The Division currently has a staff of 84 FTEs, including attorneys, auditors, special agents, data analysts, clinical health investigators and professional support staff.

MFAD involves protecting not only the Medicaid program of roughly 22.9 billion dollars per annum, but also its most vulnerable persons, typically elderly persons in residential facilities or persons abused or neglected by a Medicaid Provider. In many of our cases, there is no precedent so MFAD is consistently on the cutting edge of legal theories and issues. The cases range from abuse and neglect of persons in nursing homes, large scale organized individual and corporate civil and criminal fraudulent activity to national whistleblower actions. Our staff is a highly professional, fun and seasoned analytical investigative team. MFAD is unique in that all cases have an attorney, special agent, data analyst assigned with legal support. This, and the great people who make up the division, gives MFAD a particularly terrific team atmosphere.

Duties and Essential Functions of an Office Support Supervisor 2

The Office Support Supervisor 2 supervises, mentors, and coaches two Legal Office Assistants in the performance of all tasks, projects and job duties. This position monitors the workload of direct reports for work quality and timeliness. The incumbent maintains an expert working knowledge of agency and division policies and procedures and monitors staff compliance and understanding. The Office Support Supervisor 2 develops and/or updates procedures for file organization, travel booking and the reimbursement process, the hiring and onboarding process, and staff position description forms along with the Grant & Operations Manager This position provides ongoing mentoring and coaching to new and existing staff, provides new staff with on-the-job training, assigns and monitors the work of direct reports, conducts quarterly check-ins, interim and annual performance reviews. The team led by the Office Support Supervisor 2 directly supports the Special Agents, Data Scientists, Medical Services, and Digital Forensic Sections with their administrative needs. This position also serves as the division’s Fleet Vehicle Coordinator.

The Office Support Supervisor 2 tracks and monitors database users to ensure appropriate usage and conducts required audits to maintain compliance. This position updates and maintains database access procedures and organizes database folders to support efficient use. The incumbent assists with the uploading of policies and procedures, manuals and other items to the division intranet page including proof reading documents to ensure no HIPPA data is missed prior to uploading. This position assists division staff with TEMS reimbursements and serves and the main point of contact for all things travel related. The Office Support Supervisor 2 determines if the division can fulfill outreach and education requests based on established program criteria. This position monitors and tracks all request activities through completion of presentation and participation evaluations of presentations. The incumbent tracks all outreach and educational events and presentations while also collecting, preparing, and disseminating outreach and education materials to the public as requested.

In addition, the Office Support Supervisor 2 serves as the Washington State Patrol (WSP) Terminal Access Coordinator (TAC) for the division. This position enters all new employees into the Criminal Justice Information Services (CJIS) online system and sets security levels for training purposes. The incumbent coordinates employee CJIS training and compliance. The Office Support Supervisor 2 manages training dates and alerts users when they are required to re-certify themselves. This position participates in all WSP CJIS audits and responds to requests.

Required Qualifications

High school graduation or equivalent and three years of clerical experience including one year of supervisory experience.

Conditions of Employment

A background check consisting of employment history, professional references and educational verification (e.g., degree, license, or official transcript) may be conducted. Prior to any offer, the applicant selected will be required to submit to and pass a fingerprint-based criminal background check conducted by the Washington State Patrol, Criminal Records Division. The incumbent will submit to additional background checks as a condition of employment every five (5) years thereafter.
