DUTIES AND RESPONSIBILITIES

The responsibilities of the Operations Manager include, but are not limited to:

Administrative:

  • Ensures daily log, visitor, resident, daily and nightly sign-in logs, and other records are

maintained in an accurate and timely manner by security staff

  • Responsible for the accurate recording and reporting of staff time and attendance
  • Must report a Priority One to the Program Director within 30 minutes of the incident
  • Reporting complaints and or issues to Director-level staff immediately
  • Records observed performance or conduct concerns and informs site leadership so

they may determine appropriate next steps

  • Responsible for checking in clients, submitting incident reports, and finalizing the DHS

roster in CARES. Operation staff should only submit reports in CARES after business hours, on

holidays, on weekends, or if they are the first to be notified of any incidents.

  • Complete end-of-shift roll call reports and email them to the Program Director

(PD), Security Director (SD), and Social Services Director (SSD). Operation Supervisors are

required to send a roll call at the end of each shift

Leadership and Staff Development:

  • Lead daily shift changes to inform staff of high-risk situations or specific client needs
  • Conduct new hire trainings for security staff
  • Leads and directs each department in the event of an emergency evacuation
  • Ensures Security Guards acquire an understanding of building features and potential problems

• Ensures that security staff actively monitor the CCTV system, and immediately report to the

supervisor activities that violate safety and security protocols, and logs observations

  • The ability to train staff on protocols, procedures, and incident reporting
  • Makes sure all staff are properly dressed and in a specific work uniform
  • Makes sure all staff treat clients and employees with respect
  • Create a monthly schedule outlining staff's duties and responsibilities for the month

Programmatic Achievement:

  • Oversees daily operations of each Department to ensure a secure and functional environment

for the residents, staff, and visitors

  • Ensures that fire drills are executed as required
  • Ensures that monthly Fire Safety inspections are conducted as necessary
  • Ensures that fire drills are executed as required and documents results
  • Answer facility phone calls and direct them appropriately.
  • Continuously observes all residents and develops the ability to recognize signs of substance

abuse, child abuse, and criminal activity, and immediately advises the appropriate staff and works

with the facility team to conduct investigations, as appropriate

  • Ensures that the interior/exterior of the building, the surrounding perimeter, and client

common areas are monitored by a security guard

  • Contact the State Central Registry to report any cases of abuse or maltreatment.
  • In the event of an emergency, Essential Employees are required to report to work as scheduled
  • Duties and responsibilities are subject to change based upon assessment of the company

SKILLS AND QUALIFICATIONS

• High School diploma or equivalent required

  • Valid Fire Guard Certification (F02) and a Certificate of Fitness (F80) required
  • Must be willing and able to be certified in First Aid/CPR
  • Preferred NYS Security License
  • Mandated Reporter Certificate
  • Three to five (3-5) years of security and management experience preferred
  • Must be able to make clear decisions and handle situations fairly under pressure

and during stressful situations

  • Must be able to interact effectively with the facility staff and client population (verbally

and in writing)

  • Must be willing and able to remain at post beyond regularly scheduled hours for appropriate

relief

  • Must be able to perform physical activities such as run, lift etc.
  • Bilingual in English/Spanish is a plus
  • F02, F80, 40-hr DHS Training Certificate, CPR/AED/First Aid Certificate
