Order Operations Specialist (Remote)

Location: 100% Remote / Virtual

Must Reside In: Austin, TX or any of the following states – AL, AZ, CO, CT, FL, GA, IL, NC, NV, OH, OR, SC, TN, TX, VA, WI.

Job Type: Full-Time, Exempt (Salaried)

Compensation: $45,000–$55,000 base salary + quarterly bonus opportunities

Position Overview

The Order Operations Specialist is responsible for executing the full order lifecycle with a high degree of accuracy, ensuring all client purchases are correctly structured, processed, and aligned for downstream billing, tax handling, and financial reporting.

This role serves as a critical control point within the revenue process. While transactional in nature, the position requires strong attention to detail and accountability, as errors directly impact invoicing accuracy, revenue recognition, and client experience.

Core Responsibilities

Order Lifecycle Execution

Execute the end-to-end processing of all customer orders across internal systems. Ensure that all required fields, product selections, pricing structures, and service configurations are complete and accurate prior to finalization.

Pricing & Product Validation

Validate pricing, discounts, promotions, and bundled services against approved company standards. Confirm that all order components align with current product offerings and pricing structures.

Billing Readiness & Financial Alignment

Ensure all orders are properly structured for invoicing, including subscription setup, billing cadence, payment terms, and tax applicability. Identify and resolve discrepancies before orders are handed off to Finance.

Data Integrity & System Accuracy

Maintain consistent and accurate data across CRM, ordering platforms, and billing systems. Ensure alignment between systems to prevent downstream reconciliation issues.

Cross-Functional Coordination

Act as an operational liaison between Sales, Marketing, Finance, and Customer Success. Communicate order status, clarify discrepancies, and ensure alignment across teams.

Issue Identification & Resolution Support

Proactively identify order-related issues and discrepancies. Resolve straightforward issues independently and escalate complex cases with clear documentation and context.

Ownership & Accountability

Accuracy and completeness of all processed orders

Timeliness of order execution

Integrity of order data across all systems

Reduction of billing errors and rework

Success Metrics

Order accuracy rate

Order processing turnaround time

Billing discrepancy rate

Internal response time / SLA adherence

1–3 years in order processing, operations, or administrative support roles
