PBHA Program Support Fellow
Job description
Summary
The Program Fellow would report to the Deputy Director and support cross-program administrative initiatives. They would work closely with the Directors of Programs and the Manager of Student Development and Evaluation of programming and events. The Program Fellow will collaborate with PBHA’s Non-Profit Management Fellows on program-related communication and student volunteer recruitment. The Program Fellow’s work would center on three key areas: Program Team Administrative Capacity, Community Engagement Support, Volunteer recruitment, engagement, and retention.
Beyond the PBHA staff team, the fellow would work with the PBH staff to support student engagement through shared communication efforts and logistical support for department programming focused on student recruiting and engagement.

Responsibilities
Program Team Administrative Support
- Provide administrative support for program team including project management of cross program initiatives
- Provide logistical support to the Deputy Director for program team meetings and retreats.
- Assist the Deputy Director and Department Administrator to support onboarding of volunteers, senior counselors and junior counselors
- Provide logistical support to programming events including but not limited to the Public Service Celebration, Youth Fall Festival, and the Youth Holiday Party
- Program Fellow provides support for monthly meetings & workshops (food, space, materials, invoices for consultants/trainers) for the Chan Stride Scholarship program. Additional administrative support at Chan Stride will allow for greater alumni and community partner involvement
- Work with Director of Programs and Manager of Student Development and Assessment to support logistics for SUP Senior Counselor Training, two and a half to three weeks of staff training (room bookings, materials, attendance, food) and the Non-Profit Management Intensive, one week of officer training in January.
- Support logistics for the Summer Urban Program director training sessions
- Provide project management/ administrative support for cross-organizational initiatives that are overseen by the Deputy Director
Community Engagement Support:
- Serve as a Project Coordinator for SUP Camper Enrollment
- Serve as a representative of PBHA at community events (focus on opportunities to recruit volunteers and participants)
- Serve as a coach for the Student Community Organizing Chair to host Community Cabinet (one evening of reflection with community leaders held at PBHA), coordinate Through the Gates (annual community kickoff event), increase community engagement through director training and goal setting sessions, and maintains community calendar with student leaders.
- Partner with the PBHA Non-Profit Management Fellow to liaison between PBHA’s Program Leadership and PBHA’s Communication Committee to support organizational communication re: volunteer engagement, community events & partnership opportunities
- Develop virtual resources of relevant community history.
Volunteer Recruitment, Engagement & Retention
- Steward first year engagement strategy with the Volunteer Engagement Officer. Liaison with PBH department staff working on outreach, recruiting, and communication connected to first year programming. Coach the Volunteer Engagement Officer to coordinate volunteer engagement events: study breaks, Public Service Celebration, community orientations, and coffee chats.
- Support the Volunteer Engagement Officer and Programming Chair to plan the Fall and Spring Open Houses. Liaison to the Communications Committee to support PR and outreach strategies for these events.
- Serve as a Project Manager for SUP recruiting. This fellow will support SUP PGOs and Communications Committee to engage stakeholders to develop PR/Outreach plan as well as monitor/ manage implementation of this plan
Organizational Support
- Sustain institutional memory by updating virtual community history resources and supporting Programming Chairs to collect final reports from programs
- Work with student officers and staff to set and follow through on priorities and semesterly objectives.
- Collaborate with other Harvard Organizations in student and program support efforts.
Working Conditions:
The office is the primary setting for this position. Meeting with community partners, site visits, and program events will occur off-site.

Qualifications
- Bachelor Degree required
- 1-3 years experience in a non-profit community based organization
Additional Qualifications and
Skills
- Proficiency in Microsoft Word, Excel, and PowerPoint
- Knowledge of the public service landscape at Harvard College and PBHA is a plus.
- A previously demonstrated commitment to public service is essential.
- A strong candidate will either already have a foundational knowledge of the organizational structure and decision-making process at PBHA or must be willing to learn about and demonstrate a deep interest in PBHA’s history and current strategic priorities.
- A strong candidate will also show flexibility for and an understanding of the time-sensitive and situational needs and priorities that frequently arise in any non-profit work environment.
Strong skill sets in the following areas are strongly preferred: written and oral communication, planning and organization, ability to work collaboratively with a variety of constituents, ability to work independently on complex projects, ability to multitask and meet deadlines, and willingness to work with a small, close-knit team. Knowledge of salesforce and driver license are preferred

- The work schedule and location will be set by the department at its discretion and based upon operational needs and objectives and consistent with College Policy, which requires 5 days on-site in Cambridge, MA during term time (first day of classes through commencement), with the exception of winter break in December, spring break in March, and the summer months when students are away from campus, where staff is expected be on campus two days a week. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details about the College policy will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
