Procurement Specialist

ACS is looking for an organized, analytical Procurement Specialist to own material purchasing, bid estimating, and pricing accuracy for our Commercial division: protecting margin and keeping our projects moving.

As the Procurement Specialist, you will own material ordering and tracking for ACS Commercial, working alongside the Project Coordinator to get material where it needs to be, when it needs to be there. You will build large and complex bid quotes, source product and vendor pricing for the sales team, audit cost and freight, and serve as the owner of our product library, turnkey pricing, catalog, and quote templates.
Your work will directly impact margin, quote accuracy, and on-time material delivery; turning vendor pricing and project plans into bids that win and orders that arrive right the first time.
Your objectives may be similar to:
- Owning material ordering and tracking for sold jobs, ensuring every PO is accurate and every order is confirmed at the warehouse.
- Building accurate, competitive bid quotes and sourcing product and vendor pricing for commercial, multifamily, and property management projects.
- Protecting margin through disciplined cost, invoice, and freight auditing.
- Owning the product library, turnkey pricing, catalog, and quote templates so the sales team can quote quickly and accurately.
Ordering & Material Tracking
- Place material orders for sold jobs and confirm PO accuracy against the quote.
- Track every open order until material is confirmed at the servicing warehouse, working alongside the Project Coordinator.
- Flag delays, backorders, shortages, and substitutions to sales and the Project Coordinator the same day.
Bid Estimating & Product Sourcing
- Build large and complex bid quotes for property management, multifamily, and commercial projects.
- Source products and obtain vendor pricing for the sales team’s bid work, including special-order and non-catalog items.
- Read plans and measures to produce accurate takeoffs, scope, and material quantities.
- Review quotes built by sales and field teams for accuracy and margin before they go out.
Cost & Freight Audit
- Audit vendor invoices, material cost, and freight against quotes and POs.
- Identify overcharges, billing errors, and margin leaks, and work with vendors to resolve them.
- Report monthly on cost, freight, and margin trends to the VP of Sales and National Accounts.
Product Library, Pricing & Templates
- Lead the initial cleanup of the product library to align with the turnkey catalog, and finalize turnkey pricing in partnership with Finance and the VP.
- Build quote templates that enable sales reps and Field Support Managers to quote quickly and accurately.
- Build and maintain property key guides outlining approved products, specs, and pricing by property for managed accounts.
- Maintain pricing on an ongoing basis, updating for changes in vendor cost, SKUs, or freight, and retiring discontinued SKUs.
To excel in this role, you should possess the followingqualifications
- 3+ years of experience in flooring, construction, or building-materials estimating, pricing, or purchasing.
- Ability to read plans and measures and produce accurate takeoffs.
- Advanced Excel skills, including lookups, pivot tables, and maintaining clean price files.
- Experience with CRM or database systems such as QuickBase, vendor portals, and Outlook, with the ability to learn new systems quickly.
- Highly organized and detail-oriented, with the ability to manage many open orders, bids, and price changes at once and catch errors in quantities, SKUs, pricing, and freight before they cost money.
- Demonstrated ability to build and follow processes, including checklists, trackers, file structures, and standard steps that make work repeatable.
- Clear communicator with vendors, sales, and finance.
- Flooring product knowledge (LVP, hardwood, carpet, underlayment, transitions, prep) preferred.
- Experience with multifamily, property management, or commercial bids preferred.
- Experience with Home Depot Pro or a retail-installed program preferred.
