Job Summary

The Corporate Shuttle Project Manager is responsible for planning, scheduling, and managing corporate shuttle operations that safely and reliably move employees between company locations, business locations, and other approved destinations. This role oversees shuttle operations from initial concept through implementation and ongoing improvement, ensuring services align with business needs, employee expectations, budget requirements, and applicable safety and regulatory standards. The Project Manager serves as the primary point of contact for employee and executive passengers, flight charter operators, security and finance. The successful candidate combines strong project management skills with operational judgment, communication skills, and a customer-focused approach. Additionally, this role may require any extra tasks at the discretion of both the Chief pilot and Assistant Chief Pilot.
DUTIES AND
RESPONSIBILITIES
- Lead the development and implementation of corporate shuttle scheduling programs, including service planning, schedules, trip information distribution, vehicle requirements and passenger catering when requested.
- Gather and analyze employee transportation needs, utilization reports, site requirements, and service demand to recommend practical solutions.
- Develop logistical plans, timelines, budgets, risk management, communication plans, and performance measures.
- Manage relationships with shuttle vendors, charter companies, vehicle suppliers, technology providers, and other contractors.
- Prepare requests for proposals, evaluate vendor responses, support contract negotiations, and monitor vendor performance against service-level agreements.
- Coordinate transportation operations with facilities, workplace services, security, environmental health and safety, human resources, finance, and site leadership.
- Establish procedures for daily operations, driver requirements, incident reporting, emergency response, customer service, and service disruptions.
- Monitor key performance indicators such as seat utilization, on-time performance, vehicle utilization, customer satisfaction, safety events, cost per trip, and service reliability.
- Use data and employee feedback to recommend route changes, schedule adjustments, capacity improvements, or other enhancements.
- Manage project budgets, process expense reports in addition to creating purchase orders, track expenditures, and identify opportunities to improve efficiency without compromising safety or service quality.
- Develop and distribute employee communications regarding routes, schedules, policies, service changes, service facilities and disruptions.
- Identify operational risks and implement mitigation plans, including contingency transportation plans for emergencies, special events, construction, or aircraft availability.
- Maintain accurate project records, operating procedures, vendor documentation, performance reports and acquiring military airport PPR’s when required.
- Support audits and ensure compliance with company policies, contractual requirements, accessibility expectations, and applicable FAA regulations.
- Maintain the strict confidentiality of sensitive information.
- Responsible for ensuring all laws, regulations and other applicable obligations are observed wherever and whenever business is conducted on behalf of the Company.
- Responsible for ensuring work is accomplished in a safe manner in accordance with established operating procedures and practices.

Job Qualifications
- Typically requires a Bachelors in Business Administration or related discipline and at least six years of progressively complex experience in project administration. May substitute equivalent experience in lieu of education.
- Reporting to management, demonstrates authority, responsibility and discretion to lead and perform facilitation of scheduling and mission monitoring activities, planning support services, reporting to CP, as well as providing mission reporting and analysis.
- Schedule and coordinate flights using FOS, ensuring optimal use of resources and adherence to established policies and procedures, and in compliance with guidelines set forth in the Flight Operations Manual and FAA regulations.
- Build trip manifests and ensure accuracy and that trip sheets are prepared for each departing flight.
- Schedule aircraft and crews.
- Communicate with pilots, maintenance, and other relevant personnel to ensure all flight operations are conducted safely and efficiently.
- Prepare, audit and maintain aircraft and crew schedules.
- Provide frontline superior customer service to VIPs, executive staff, passengers and other corporate partners.
- Maintain accurate records of flight operations, including schedules and passenger information.
- Schedule/coordinate charters.
- Manage closing out of flights in FOS and compulsory government accounting reports produced by FOS.
- Manage special catering and transportation needs requests and expense reports.
- Process and track contract pilot invoices, landing fees etc. invoices, and other misc. invoices.
- Make P Card purchases and process monthly reports.
- Assist the CP and ACP with technical writing and formatting.
- Produce SAP Purchase Requests.
- Able to work independently and without supervision and use own judgement to make decisions regularly and when chief pilot and assistant chief pilot are unavailable.
- Able to use own judgement when setting up new flights and handling office coordination and duties.
- Ability to obtain and maintain a DoD Security Clearance is required.
