Schedule: Hybrid – Tuesday, Wednesday & Thursday onsite | Monday & Friday remote

Orion Group is seeking experienced Project Managers – Marketing Operations & Material Review to support a leading global pharmaceutical organization in Mettawa, IL.
This is an excellent opportunity for project management professionals with experience in pharmaceutical marketing operations, promotional material review, MLR/MRP processes, and agency coordination.
The Project Manager will facilitate the end-to-end management and review of advertising, promotional, sales training, and promotional labeling materials through the U.S. Commercial Material Review Process (MRP). This individual will work closely with cross-functional partners across Medical, Regulatory,
Commercial, Legal, Compliance, and external advertising agencies to ensure materials move through review and approval accurately and on schedule.
Key Responsibilities
Project Management & Material Review
- Manage multiple projects and promotional materials simultaneously in a fast-paced, deadline-driven environment.
- Facilitate the review and approval of advertising, promotional, sales training, and promotional labeling materials through the U.S. Commercial Material Review Process.
- Develop, monitor, and manage project timelines to ensure materials progress through MRP according to established deadlines.
- Forecast workload, prioritize competing deliverables, and proactively address potential timeline risks or delays.
- Use data and available information to make informed decisions under tight deadlines.
- Maintain clear visibility into project and material status for key stakeholders.
- Coordinate cross-functional review activities involving Medical, Regulatory, Commercial, Legal, Compliance, and other key stakeholders.
- Partner closely with advertising agencies to manage material submissions, revisions, review cycles, and approvals.
- Facilitate communication between internal stakeholders and external agency partners.
- Drive accountability and progress across teams while effectively leading without direct authority.
- Build strong working relationships and help resolve issues that could impact project timelines.
- Support the timely review of promotional and non-promotional materials across U.S. Commercial, Medical, Regulatory, and other applicable review functions.
- Provide tactical project support throughout the Material Review Process.
- Provide consultation and training to team members responsible for uploading, reviewing, and approving materials within MRP systems.
- Support adherence to established MLR/MRP processes, policies, and procedures.
- Utilize Veeva PromoMats and other review systems to support material workflow and approval activities.
- Bachelor’s degree in Business Management, Science, Education, Communications, or a related field.
- 5+ years of project management experience.
- Pharmaceutical industry knowledge and experience.
- Understanding of the MLR/Material Review Process and associated policies and systems.
- Experience supporting marketing, communications, promotional materials, and/or advertising agency operations.
- Experience working with both print and digital materials.
- Strong project management skills with the ability to balance multiple competing priorities.
- Demonstrated ability to forecast, prioritize, multitask, and manage multiple projects in a rapidly changing environment.
- Ability to make informed, data-driven decisions under tight deadlines.
- Strong interpersonal and cross-functional collaboration skills.
- Ability to influence stakeholders and lead without authority.
- Working knowledge of Adobe Acrobat, Microsoft Word, Excel, PowerPoint, and Smartsheet.
- Ability to quickly learn and adapt to new systems and software tools.
- Experience with Veeva PromoMats or similar promotional material review systems.
- Hands-on experience supporting pharmaceutical MLR/MRP review workflows.
- Experience working directly with advertising or creative agencies.
- Previous pharmaceutical marketing operations experience.
The successful candidate will be a highly organized, proactive Project Manager who is comfortable managing a high volume of materials, deadlines, and stakeholders simultaneously.
You should be able to keep projects moving forward while coordinating individuals across Medical, Regulatory, Commercial, Legal, Compliance, and agency teams—often without having direct authority over those stakeholders.
The ideal candidate understands the importance of accuracy, compliance, communication, and timeline management within pharmaceutical promotional material review and can quickly adapt when priorities change.
