Job Summary The Project Manager - Facilities & Construction, is the execution engine of the Property & Facilities Maintenance division. This role owns the day-to-day management of construction and capital improvement projects from initiation through closeout, drives work order follow-through to completion, and serves as a clear, dependable point of contact for Brays staff.This is a coordination-and-delivery role. The Project Manager rarely holds direct line authority; instead, they get results by influencing contractors, vendors, trades, and internal staff toward clearly defined outcomes, on schedule and on budget, while keeping members (owners) informed and confident every step of the way. Primary Role Responsibilities
  • Construction and Capital Project Management:
  • Manage assigned capital construction and improvement projects end-to-end — from scoping and design coordination through procurement, execution, commissioning, and closeout
  • Develop and maintain project scopes, budgets, schedules, and critical-path timelines; track progress against baseline and flag variances early
  • Coordinate architects, engineers, and design consultants to keep drawings, standards, and design deliverables on track
  • Solicit, level, and recommend contractor bids; support the RFP and procurement process and prepare procurement justification for award decisions
  • Manage general and specialty scope, schedule, quality, and adherence to community standards
  • Review, negotiate, and process change orders, pay applications, retainage, and invoices; reconcile against contracts and budget
  • Run project meetings, publish agendas and minutes, and maintain complete project documentation, submittals, RFIs, and closeout records
  • Coordinate permitting, inspections, and regulatory compliance with local authorities and utilities as required
  • Work Order Follow-up and Coordination:
  • Monitor the work order queue for assigned areas; drive aging and open orders to completion and closeout
  • Coordinate across trades and maintenance staff to sequence work, resolve conflicts, and eliminate duplication
  • Verify quality and completeness of resolution before an order is closed; reopen and re-assign when standards are not met
  • Track response times, completion rates, and recurring issues; surface patterns that warrant a preventive or capital solution
  • Client Communication:
  • Serve as the primary point of contact for staff on active projects and work affecting their departments and the community
  • Provide proactive status updates, set realistic expectations on timing and disruption, and confirm completion to the member’s satisfaction
  • Handle concerns and escalations professionally, with candor and follow-through; know when to elevate to the Director
  • Represent Brays Island’s service standard in every interaction with members, contractors, and peers
  • Budget, Schedule and Risk Control:
  • Own cost control on assigned projects — forecast, track committed vs. actual spend, and protect budget and contingency
  • Build and maintain integrated schedules; identify long-lead items, dependencies, and critical-path risks before they threaten dates
  • Maintain a project risk and issues log; develop mitigation plans and communicate risk to leadership in plain terms
  • Support annual capital planning with cost estimates, prioritization input, and lessons learned from completed projects
  • Quality, Safety and Standards:
  • Conduct field inspections and punch-list walks to verify workmanship, code compliance, and alignment with community design standards
  • Enforce contractor safety, insurance, and site-conduct requirements; verify certificates of insurance and required documentation before work begins
  • Contribute to and apply baseline documentation and design standards so projects deliver consistent, repeatable quality
  • Reporting and Documentation:
  • Maintain a live portfolio view of all assigned projects — status, budget, schedule, and next milestones — for leadership visibility
  • Produce concise, scannable status reports, dashboards, and closeout summaries; keep project records organized and retrievable
  • Leverage project tracking, CMMS/work order, and scheduling tools to keep operations measurable and data-driven
Required Knowledge, Skills, Abilities
  • Minimum 5–7 years of progressively responsible experience managing construction and/or facilities projects
  • Demonstrated experience running multiple concurrent projects across scope, schedule, and budget from initiation through closeout
  • Proven track record managing contractors, subcontractors, and vendors — including bidding, contracts, change orders, and pay applications
  • Experience coordinating architects, engineers, and design consultants on active projects
  • Direct experience with work order systems and maintenance operations coordination
  • Prior experience in a private residential community, hospitality, resort, club, estate, or high-service environment strongly preferred
  • Working knowledge of building systems and construction methods: structural, HVAC, electrical, plumbing, roofing, and site/civil work
  • Understanding of construction contracts, procurement, bidding, and cost-control practices
  • Familiarity with permitting, inspections, and code-compliance processes
  • Proficiency with project scheduling and tracking tools (Gantt/critical path) and CMMS or work order platforms
  • Familiarity with OSHA regulations, contractor safety requirements, and site hazard identification
  • Strong competency in Microsoft Office Suite (Excel, Word, Outlook); experience with capital tracking or project management software preferred
Required Education, Certifications/ Licenses, Related Experience
  • Bachelor’s degree in Construction Management, Facilities Management, Engineering Technology, Architecture, Business Administration, or a related field
  • An equivalent combination of formal education and demonstrated progressive project management experience will be considered
  • Valid Driver’s License - SC or reciprocal state (Required)
  • OSHA 30 – General Industry or Construction (preferred)
  • CPR/First Aid/AED Certification (preferred)
  • PMP – Project Management Professional (PMI preferred)
  • CCM – Certified Construction Manager (CMAA preferred)
  • FMP – Facility Management Professional (IFMA preferred)
  • LEED accreditation (USGBC preferred)
  • General Contractor / Residential Builder license (preferred)
Physical Job Requirements
  • Ability to work outdoors in all weather conditions, including heat, humidity, and seasonal lowcountry conditions
  • Must be able to walk active construction sites and inspect properties across large acreage on a regular basis
  • Ability to lift and carry up to 50 lbs. occasionally
  • Availability for occasional emergency response and off-hours coordination as project or community conditions require
  • Comfortable working around active construction, mechanical systems, and heavy equipment while observing site safety requirements
