PositionOverview
Schwabe, Williamson & Wyatt is seeking a full-time Legal Assistant in our Portland, OR or Vancouver, WA office. This position is responsible for delivering high-quality legal and administrative support to lawyers in the Real Estate and Natural Resources practice area (including transactional, environmental, Indian tribes and/or Indian Country) by supporting attorneys across multiple, concurrent matters from intake through completion, and monitoring timelines on their behalf.
Schwabe has a hybrid work policy allowing employees to work from home Monday and Friday while working in the office Tuesday through Thursday.

Responsibilities
- Provide high-quality legal administrative support to lawyers and paralegals, coordinating the preparation, editing, formatting, and proofreading of legal documents such as contracts, leases, amendments, license agreements, and checklists across multiple matters, to help attorneys ensure accuracy, consistency, and on-time delivery.
- Prepare, revise, and finalize shell legal documents with attention to detail, tracking each document's status from drafting through distribution and electronic storage.
- Prepare and review documents for filing and recording, tracking requirements and deadlines across agencies and jurisdictions and flagging them to attorneys.
- Own calendaring and deadline tracking across multiple matters, proactively monitoring client meetings, filing deadlines, internal milestones, and flagging upcoming items to attorneys in advance.
- Maintain organized and up-to-date electronic files across all assigned matters, and coordinate file management and matter opening and closing.
- Create and maintain tracking spreadsheets and status reports to monitor progress, deadlines, and outstanding action items across an active caseload.
- Communicate professionally and proactively with clients, opposing counsel, internal staff, and other stakeholders to coordinate next steps and keep matters moving forward.
- Maintain confidentiality and adhere to ethical standards in all communications and documentation.
Requirements
- 5+ year(s) of related legal support or paralegal experience.
- Experience coordinating competing deadlines and priorities across a high-volume caseload.
- Exceptional organizational skills, with the ability to track and coordinate multiple workstreams simultaneously with a high level of accuracy and attention to detail.
- Knowledge of state, federal, tribal and other jurisdictional rules and e-filing procedures.
- Proficiency in word processing and redline/compare document programs.
- Self-motivated, proactive, and able to work independently.
- Associate's degree or paralegal certificate preferred; a high school diploma or GED is the minimum requirement.
