Job description

The Sales and Logistics Coordinator is responsible for coordinating T-Post sales and customer service activities and managing outbound shipping logistics for Franklin Industries' Farm and Highway finishing departments.

This position serves as the primary coordination point between customers, Sales, Farm, Highway, Shipping, and freight carriers. The Coordinator processes T-Post inquiries and orders, communicates customer requirements, coordinates production and shipping information, books and schedules trucks, manages required shipping documentation, and monitors orders through shipment.

The position is responsible for maintaining accurate and timely communication so that customer orders are properly entered, production departments understand shipping requirements, transportation is available when material is ready, and finished products ship on time.

Minimum Qualifications

Required

  • High School Diploma, GED, or equivalent.
  • Experience in customer service, sales support, logistics, transportation, manufacturing, or a related function.
  • Strong organizational and scheduling skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple customer orders, shipments, and priorities simultaneously.
  • Proficiency with computers and Microsoft Office.
  • Ability to accurately enter and retrieve information from ERP systems.
  • Ability to work effectively with customers, carriers, production personnel, and company leadership.
  • Strong attention to detail and follow-through.

Preferred

  • Experience with Sage 100 or similar ERP software.
  • Experience coordinating truckload and LTL freight.
  • Experience in manufacturing or steel products.
  • Experience preparing Bills of Lading and other shipping documentation.
  • Experience with sales order processing and inventory systems.

Duties and Responsibilities

T-Post Sales and Customer Service

  • Serve as a primary point of contact for T-Post customer inquiries and orders.
  • Receive and process T-Post orders.
  • Enter customer orders accurately into Sage 100 and applicable company systems.
  • Prepare and communicate T-Post pricing in accordance with established pricing authority.
  • Provide customers with product availability, order status, lead-time, and shipping information.
  • Coordinate customer requirements with the Vice President of Sales & Marketing and Farm operations.
  • Maintain accurate customer account and order information.
  • Respond to customer questions and concerns and escalate pricing, quality, contractual, or service issues when appropriate.
  • Communicate order changes promptly to affected departments.
  • Support existing T-Post customer relationships through timely and accurate communication.
  • Assist the Vice President of Sales & Marketing with T-Post sales activities as required.

Order Management and Production Coordination

  • Review open Farm and Highway orders and anticipated shipping requirements.
  • Coordinate with Farm and Highway leadership regarding product availability and expected completion dates.
  • Enter and distribute applicable pick sheets, shipping instructions, and other order information.
  • Monitor orders from entry through production and shipment.
  • Verify material availability before scheduling shipments when required.
  • Communicate changes in production readiness that affect scheduled transportation.
  • Coordinate customer pickup orders and notify customers when material is available.
  • Maintain awareness of finished-goods inventory and open customer requirements necessary to coordinate shipments.
  • Escalate conflicts between customer requirements, material availability, production schedules, and transportation capacity.

Freight and Transportation Coordination

  • Coordinate outbound transportation for finished Farm and Highway products.
  • Obtain freight quotes and identify appropriate transportation options.
  • Book and schedule truckload and LTL carriers based on shipment requirements.
  • Negotiate freight rates within established company authority.
  • Coordinate pickup dates and times with carriers and internal shipping personnel.
  • Issue truck confirmations and provide required information to the appropriate department and carrier.
  • Monitor scheduled pickups and address late, missed, cancelled, or rescheduled trucks.
  • Maintain communication with carriers regarding shipment status and transportation issues.
  • Identify and qualify potential freight carriers as required.
  • Maintain carrier contact and rate information.
  • Coordinate transportation requirements for customer pickups when applicable.
  • Support inbound or interfacility transportation associated with Farm and Highway operations as assigned.

Outside Processing Logistics

  • Coordinate transportation to and from galvanizers, powder coaters, and other outside processors as required.
  • Book outbound and return transportation.
  • Monitor material sent to outside processors and anticipated return dates.
  • Communicate outside-processing status to Sales and affected production departments.
  • Verify applicable purchase-order and vendor information associated with outside processing.
  • Process Bills of Lading and other required shipping documentation for outside-processing shipments.
  • Coordinate with vendors regarding shipping availability and expected completion dates.

Shipping Documentation

  • Prepare and process Bills of Lading and other required shipping documents.
  • Verify shipment information before release, including customer, product, quantity, destination, and carrier information.
  • Prepare completed shipments for invoicing.
  • Provide required product certifications and customer documentation associated with purchase orders.
  • Maintain accurate freight and shipment records.
  • Process freight purchase orders and supporting documentation as required.
  • Scan and retain shipping and freight documentation according to company requirements.
  • Research and resolve discrepancies involving orders, shipments, freight charges, or shipping documentation.

Freight Cost Management

  • Obtain competitive freight rates while supporting required delivery schedules.
  • Monitor freight costs and identify significant rate changes or unusual transportation expenses.
  • Verify freight invoices and supporting documentation as assigned.
  • Assist Sales leadership in evaluating transportation options that balance cost, availability, and customer requirements.
  • Identify recurring freight problems and recommend practical improvements.

Sage 100 and Information Management

  • Accurately enter and maintain customer order, shipping, and related information in Sage 100.
  • Use Sage 100 to review orders, inventory, shipment status, and other information necessary to perform assigned responsibilities.
  • Maintain accurate electronic and paper records.
  • Verify information before communicating order or shipment status to customers and internal departments.
  • Identify and correct data discrepancies within assigned authority and escalate issues requiring additional support.

Communication and Coordination

  • Serve as a communication link among Sales, Farm, Highway, Shipping, customers, freight carriers, and outside processors.
  • Participate in Sales, production, and shipping meetings as required.
  • Communicate transportation constraints or anticipated shipping delays before they affect customer commitments whenever possible.
  • Maintain professional relationships with customers, carriers, vendors, and internal departments.
  • Escalate significant customer, transportation, inventory, or production issues to the Vice President of Sales & Marketing.

Continuous Improvement

  • Identify recurring transportation, order-processing, and communication problems.
  • Participate in Root Cause Analysis and problem-solving activities.
  • Recommend improvements to order flow, shipping coordination, freight management, and customer communication.
  • Support standardized work and accurate documentation of Sales and Logistics processes.
  • Support Franklin Industries' continuous improvement initiatives.

Other Duties

  • Assist the Vice President of Sales & Marketing as required.
  • Provide backup support for related Sales and Logistics functions as trained and assigned.
  • Attend required meetings and training.
  • Perform other duties consistent with the purpose of the position as assigned.

Physical Demands

The associate must be able to:

Training and Development

Within 90 days of employment, associates are expected to:

  • Independently process routine T-Post orders from receipt through shipment.
  • Demonstrate proficiency using Sage 100 for assigned Sales and Logistics functions.
  • Demonstrate working knowledge of Franklin's T-Post products and applicable customer requirements.
  • Demonstrate working knowledge of Farm and Highway products, shipping processes, and finished-goods flow.
  • Independently obtain freight quotes and book routine truckload and LTL shipments.
  • Demonstrate competency preparing Bills of Lading, truck confirmations, freight purchase orders, and other required shipping documentation.
  • Demonstrate the ability to coordinate effectively with Farm, Highway, Shipping, customers, carriers, and outside processors.
  • Demonstrate the ability to identify conflicts between material availability, customer requirements, and scheduled transportation and escalate them appropriately.
  • Perform routine responsibilities independently with minimal supervision.

HOURS AND SCHEDULE - Approximately 40 hours, may need to work over weekends for the occasional sales trip or professional conference. Regular office hours are Monday-Friday and flexible in 8 hour shifts.

COMPENSATION

Base Salary: between $45 - $55K- commensurate with experience.
