Job Summary
The Sales Coordinator supports the Sales Department and reports to the General Manager.
The coordinator will provide administrative and project support which may include completing contracts, corresponding with clients, and assisting with setting up meeting spaces for group functions. The coordinator executes special projects with the guidance of management. In addition, front desk coverage will be required several days per week.
Duties and Responsibilities
The Sales Coordinator's responsibilities include, but are not limited to:
1. Supports the Sales Department administratively including correspondence,
preparing reports, and assisting with reservations.
2. Provide telephone and message support for the department and responds to inquiries in a timely, clear, and pleasant manner.
3. Exercise decision making skills to direct requests both internal and external.
4. Maintain guest profiles, contacts and additional necessary records used in the Sales Department.
5. Assist with the preparation of contracts, proposals and addendums and track the completion status.
6. Act as liaison between Sales and clients in the absence of the Area Director of Sales.
7. Take booking inquiry information via phone and prepare proper paperwork.
8. Handle reservations for VIP guests and clients.
9. Ensure that all arrangements, including upgrades and amenities are handled properly.
10. Coordinate with other departments through verbal and written instructions.
11. Block group & meeting space specifications and ensure that accurate information is collected and entered in the reservations system.
12. Communicate with all hotel departments as appropriate. Ensure prompt attention to time sensitive requests by hotel colleagues.
13. Order office supplies and collateral inventory for Sales Department.
14. On a weekly basis prepares detailed and quality Group Resumes and Banquet Event Orders internally distributes to all necessary departments in an effort to proactively and appropriately convey pertinent group information to the team.
In addition, Guest Service Representative duties will also be assiged several times per week. These include:
Answers incoming telephone calls professionally, following the hotel and/or brand
expectations regarding phone etiquette.
2. Provides excellent customer service, responding to guest questions or concerns in a
timely and courteous manner.
3. Makes reservations or modifies reservations as needed.
4. Follows hotel and/or brand standards related to guest interactions and reward programs.
5. Coordinates check-in and check-out procedures with multiple guests in line in a
courteous and efficient, providing a positive experience for each guest.
6. Maintains guest privacy and safety by not sharing information about guests, to callers,
walk-ins, or other guests.
7. Documents information regarding guest or room information in the front desk notebook for
future shifts. Protects this information as confidential from guests and employees without a
“need to know”.
8. Assists sales team with pre-registration and blocking of rooms for groups.
9. Adheres to proper credit, check cashing, and cash-handling policies and procedures.
10. Tracks room status to ensure guests are assigned to vacant ready rooms.
11. Shares correct information regarding rooms, amenities, and hotel rules.
12. Uses suggesting selling techniques to sell rooms and to promote other services of the hotel.
13. Coordinates room status updates with the housekeeping department by notifying
housekeeping of all check-outs, late check-outs, early check-ins, special requests, and part-
day rooms.
14. Processes mail, packages, and message handling with care so accurate information is
provided to guests or management promptly.
15. Attends department meetings.
16. Communicates with Housekeeping and Maintenance regarding guest concerns or
room preparation for rental.
17. Follows all safety and emergency procedures. Is aware of accident prevention policies.
18. Completes duties and confirms on shift checklist as assigned.
19. Various other duties as assigned by Supervisor.
Requirements
• Minimum of High School Diploma or GED
• Associates or Bachelor’s degree in related field preferred
• Prior experience in Hotel Guest Services or Hotel Sales required
• Hotel brand experience preferred
