Job description

We are seeking a highly organized and detail-oriented individual to join our organization as a Sales Coordinator. In this role, you will coordinates resources, administrative work, event activation tasks, data / file maintenance between the sales organization itself and between other departments.

Job Requirements

Sales Specific:

Sales support Lead -

  • Data maintenance for Corporate based RFP’s, Control State listing applications, new item set up at distributors, vendor set up with distributors & vendors,
  • Template management for inter-department, and cross regional budget spends, manually track Joint Commitment assumptions
  • Organize and perform basic supervision for corporate sales schedule, national meetings, division meetings, external sales events. Communicate marketing event requirements to local sales staff
  • Manage samples closet and the shipment of trade presentation samples across the USA with a focus on Corporate accounts

Cross Department Coordination:

Operations –

  • Communicate and monitor VAP allocations, LTO’s, and vintages within the internal customer service team, division managers and externally with distributor demand team

Marketing –

  • Coordinate and track POS at the distributor, and local storage facilities
  • With marketing department’s supervision, clean up Zamora USA drive and brand center, create and maintain a directory for easier staff navigation
  • Sychronize local sales follow through for marketing events and marketing calendars

Office Management Assistance:

  • Ordering supplies and breakroom snacks
  • Weekly kitchen restocking
  • Managing the fed ex account
  • Coordinate with the IT Systems Specialist regarding IT-related office equipment.
  • Oversee the office condition and report maintenance needs via the Gaedeke Prism System
  • Ensure that the reception area and communal areas are clean and presentable to employees and guests.
  • Plan in-house activities, such as lunches, when we have global visitors.

Other:

  • Back up for federal & state regulatory / compliance work (price posting - (4) states)
  • Maintain corporate hotel rates across the USA
  • Maintain various business meeting templates for reviews, Executive Committee (COMEX), board, etc

Requirements &

Skills

  • Bachelor’s degree preferred; or a commensurable combination of experience and education.
  • 5 years experience directly supporting an executive level employee and with office management and/or receptionist responsibilities.
  • Proficiency with Google Workspace (Gmail, Calendar, Meet, Docs, Sheets, Slides, Forms, Drive) is a strong plus.
  • Ability to build rapport with all employees
  • Strong organizational skills, must be organized and accurate in a fast-paced environment.
  • Excellent written and verbal communication skills
  • Bilingual - Spanish & English is a plus
