Overview
The Wealth Management Services and Operations Manager is responsible for managing the operational and client service functions within the Wealth Management division. This position oversees daily workflows, enforces regulatory compliance, and directs service execution for high-net-worth clients. The role ensures operational accuracy across portfolio management, financial modeling, trading, reporting, trust systems, cash movements, and vendor relationships. It also manages the interface between front-office advisors and back-office operations to ensure consistent execution and adherence to internal standards. The position includes responsibility for both daily operations and strategic initiatives that impact service delivery and operational efficiency.What You'll Do
- Lead the Services and Support team, providing day-to-day oversight, coaching, performance feedback, and professional development to maintain service standards and team engagement.
- Oversee daily operational activities including client onboarding, account setup, transfers, account maintenance, correspondence, inflows/outflows, overdraft resolution, and daily reconciliation.
- Direct operational execution of fund release requests and related transactions in Trust and Wealth Administration in partnership with Trust Officers and Wealth Advisors.
- Oversee cross-functional operational processes involving advisors, portfolio managers, compliance, and finance teams to ensure procedural accuracy and regulatory adherence.
- Manage onboarding, maintenance, and closure of trust and investment accounts in accordance with regulatory and internal standards.
- Oversee preparation and execution of loan documentation across consumer, commercial, and real estate transactions, including due diligence, title review, and coordination with legal and title partners.
- Supervise processing of incoming funds, remote deposits, and ACH payment setups, ensuring timely reconciliation and reporting.
- Monitor daily cash balances, resolve overdrafts, and ensure proper tax coding and reporting.
- Administer agency accounts and ensure compliance with applicable regulatory requirements.
- Oversee KYC profile reviews and ensure timely completion of renewals and due diligence activities.
- Manage vendor and technology relationships to resolve operational issues and maintain service continuity.
- Provide subject matter expertise on wealth management systems, reporting tools, and platform training for internal stakeholders.
- Analyze business performance, compliance, and operational reports to identify trends and recommend improvements.
- Lead department-level initiatives, including strategic projects such as the U.S. Wealth Project.
- Maintain audit readiness and prepare responses for internal and external audits.
- Promote adherence to organizational values and ensure team accountability, recognition, and cross-training.
- Monitor staffing needs, manage overtime in compliance with FLSA standards, and allocate duties to maintain workflow continuity.
- Maintain compliance with internal policies and applicable regulatory requirements (e.g., OCC).
- Develop, implement, and improve operational policies, procedures, and quality assurance measures.
- Participate in strategic planning and communicate regularly with leadership to align departmental goals and priorities.
- Remain current on platform changes, policy updates, and best practices through leadership forums and internal communications.
- Execute additional assignments and projects as directed by management.
Qualifications
- 10+ years of trust administration, financial services or accounting experience.
- 2-4 years of experience in a managerial role
- Strong understanding of the wealth management industry, investment products, financial regulations, and custodial platforms such as FIS/Reliance and Charles Schwab.
- Working knowledge of trust accounting platforms including FIS, Advantage, Pershing, or SunGard.
- Familiarity with consumer protection and compliance regulations applicable to financial services.
- Knowledge of collateral control and loan servicing requirements.
- Experience with financial systems and documentation platforms such as Fiserv, Laser Pro, and Lawyer Pro.
- Experience developing and implementing operational policies and procedures.
- Familiarity with Envestnet TAMP.
- Proficiency in CRM systems and Microsoft Office Suite.
- Effective written and verbal communication skills.
- Strong organizational and documentation skills.
- Attention to detail and accuracy in operational execution.
- Ability to contribute to strategic planning and departmental goal alignment.
- Ability to manage competing priorities in a regulated, deadline-driven environment.
- Ability to operate in a team-based environment with a focus on service consistency.
- Ability to handle confidential information and sensitive data with discretion.
Education
- Bachelor's Degree in Business, Finance or related, required.
- An equivalent combination of education and relevant professional experience may be considered in lieu of a degree.
Certifictions:
- Certified Financial Planner (CFP), preferred.
- Certified Fiduciary & Investment Risk Specialist (CFIRS), or similar designation, preferred.
- Certified AML & Fraud Professional (CAFP), Certified Regulatory Compliance Manager (CRCM), or Certified Trust & Financial Advisor (CFTA), or similar designations, a plus.
- Completion of Florida Trust School, a plus.
