SUMMARY
Performs complex administrative support or technical program assistance work. Duties include providing clerical support to the department Principal and Assistant Principal and staff, ordering equipment and supplies, preparing reports, disseminating information, maintaining paper and electronic records, managing logistics of setting up meetings and events, maintaining confidential files and meeting the legal requirements for the care of records, and performing internal administrative support work. Work involves frequent contact with students and parents, and may also include contact with other organizations, agencies and the general public. Work is performed under general supervision with moderate latitude for independent judgment.
ESSENTIAL FUNCTIONS
- Performs general office duties, such as ordering supplies; performing basic bookkeeping and clerical work; department receptionist; answering calls and correspondence; and reviewing and distributing department mail. May resolve issues and questions.
- Creates, copies, sorts, files, organizes, and/or maintains confidential departmental and student records
- Prepares and distributes written correspondence, schedules, reports, instructional materials, meeting agendas, and department communication, and progress reports to appropriate individuals. Maintains parent contact lists and class assignment logs, visitor logs, etc.
- Prepares and organizes and distributes all documentation and inter-office communication related to Admissions, Review, and Dismissals (ARD) and Individual Education Plan (IEP) processes for students, including required meeting preparation and dissemination of final meeting documentation.
- Monitors and processes all personnel time records for departmental staff including substitutes. Secures substitutes as needed. Follows TSD procedures to compile and submit time sheets.
- Assists in development/updates of department handbook, policy and procedure manuals, presentations, reports, letters, and other documents with the Principal/Assistant Principal.
- Coordinates meetings, conferences and appointments for Principal and teachers.
- Assists with the coordination of special events (Homecoming, Commencement, etc.).
- Communicates with parents, community agencies, vendors, and school staff.
- Monitors student behavior. Responds immediately and appropriately to student behavior concerns and contacts support staff as needed.
- Provides information to the health center regarding student medical issues.
QUALIFICATIONS REQUIRED
- Three (3) years of work experience as a secretary, administrative assistant or equivalent
- High School diploma or equivalent
- Working knowledge of Microsoft products
- Experience in a school setting or similar environment
- Sign Language: The ultimate required proficiency level for the position using the levels designated in the Signed Language Proficiency Interview (SCPI) is ADVANCED.
QUALIFICATIONS DESIRED
- Bachelor’s degree in relevant field
- Experience coordinating schedules
- Experience with meeting planning
- Experience maintaining electronic schedules/calendars
- Book keeping/expense experience
- Certification in any Microsoft product Proficient sign communications skills
