Position Overview
We are seeking a reliable and detail-oriented Part-Time Administrative Assistant to support our Legal and Compliance team. This onsite role in San Jose, CA requires someone who is highly organized, professional, and able to manage confidential information with discretion. The assistant will be a key partner in maintaining smooth legal operations and day-to-day administrative efficiency.
Key Responsibilities
Mail Management (Primary – approx. 4–5 hours/week):
- Open, sort, and scan incoming legal and operational mail.
- Securely distribute mail to the correct teams or systems.
- Maintain proper handling and storage of confidential documents.
- Review incoming legal emails and upload files into the legal order management tool.
- Capture and record critical case details (e.g., serving party, case number, type of order).
Litigation Tool Data Entry:
- Enter and update case details in the litigation management system.
- Maintain accurate and organized legal records.
- Generate and distribute basic reports when needed.
Legal Administrative Support:
- Prepare, edit, and organize business and legal documents.
- Assist with ad hoc requests from the Legal and Compliance team.
Qualifications
- Previous experience in an administrative, legal, or executive assistant role required.
- Strong attention to detail and proven ability to manage confidential information.
- Proficiency with scanners, digital filing systems, and Google Workspace.
- Knowledge of case/legal order management tools (Safari and JIRA) is strongly preferred.
- Excellent organizational and communication skills.
- Self-motivated, dependable, and professional.
Schedule & Work Environment
- Schedule: Monday, Tuesday, and Thursday
- Hours: 10 hours per week
- Location: Onsite in San Jose, CA (Hybrid not available – onsite only)

- Familiarity with Safari and JIRA case management tools.
