Job Description - Bid Clerk
General Description
A Bid Clerk is primarily responsible for assisting
the estimating team in documentation management and tracking. This role involves collecting
information, utilizing CRM software, and coordinating with internal teams to meet deadlines and ensure successful bid submissions. This is an entry level position with growth opportunities.
Key Responsibilities of a Bid Clerk:
- Collect and organize data from various sources, including internal teams and external stakeholders, to support efforts of estimating team to produce accurate estimates and timely proposals.
- Maintain precise call logs, detailing follow-up actions and outcomes with customers, subcontractors, engineers, and clients. Record this data in either spread sheets or CRM Software for tracking and analysis purposes.
- Access the Bid platforms to retrieve architectural, engineering, and construction drawings related to projects
to
maintain and update bid documentation.
- Produce and distribute correspondence as requested: prepare and assemble reports, proposals, and other documents.
- Create and manage all proposal files.
- Update and maintain subcontractor information in company system email.
- Schedule estimate reviews and ensure completion of bid review checklist.
- Perform other duties as assigned.
Knowledge, Skills, and Abilities:
- Possess the ability to work independently and unsupervised.
- Possess the ability to gather and analyze data, reason logically and creatively, draw conclusions and problem solving.
- Skilled in interpersonal communication to assist with all levels of staff and clients.
- Possess knowledge of Microsoft Office suite of products.
- Possess knowledge of traditional office equipment such as laptops, copiers, scanners, shredders, and postage machines.
- Skilled in written and interpersonal communication.
- Possess the ability to perform tasks in a timely and responsible manner.
- Self-starter with a strong work ethic, positive attitude, and a team player.
