Job Title: Bidding/Administrative Assistant
Location: Smithfield, RI
Hourly Pay: $25 to $30/hour DOE
Schedule: Full-time

Our services include expert design, precision repairs, scheduled maintenance, and installations of high-efficiency systems. As part of our continued growth, we are seeking a detail-oriented and proactive Bidding/Administrative Assistant to support our estimating and office operations.
Key Responsibilities:
- Answer phones, take messages, and greet visitors at the door
- Prepare and submit weekly certified payroll reports
- Follow up with subcontractors to ensure timely submission of certified payrolls
- Match receipts to credit card statements on a monthly basis
- Assist in the preparation of pre-qualification packages
- Prepare bid documents and read specifications and addenda
- Request bid bonds and letters of intent from surety providers
- Manage the annual renewal of DCAMM certification
- Download bid documents weekly and organize accordingly
- Maintain company bid calendar and schedule
- Perform general filing and organization of project documentation
- Match and process incoming invoices
- Order office and project-related supplies
Qualifications:
- Strong organizational skills and attention to detail
- Previous experience in construction administration or estimating support preferred
- Ability to interpret basic construction documents and specifications
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Excellent communication and follow-up skills
- Ability to manage multiple priorities in a deadline-driven environment

Education
