Summary
As a Shelter Coordinator at Micah Ecumenical Ministries, you will play a vital role in overseeing shelter operations and ensuring the well-being of our guests. This position is essential in fostering a supportive environment that promotes healing and stability for individuals seeking assistance.
Responsibilities
- Beginning mid- or late-October, to assist with hiring and training seasonal overnight staff before the winter begins.
- Makes the daily CWS open or closed call based on weather conditions, at the start of the season (Nov 15) and through the entire winter season.
- Announces the decision (via text message or phone call) to key volunteers/staff for the day, especially bus drivers and overnighters.
- Sends announcement email each day, handling any questions that come in response (frequent email responses in the beginning of the season, much less frequent emails as the season goes on)
- Spends 3 evenings a week as “check in staff” for the women’s shelter. Spends two evenings a week as “check in staff” for the men’s shelter. Upon hire, new staff member can help to choose the best days of the week for their own schedule, to allow for two nights in a row off from check-in responsibilities. The expectation is that at least one of the five working nights will be on a weekend. (i.e., A schedule that we could set is Tuesdays-Thursdays at women’s site, Fridays-Saturdays at men’s site, with Sunday and Monday nights off.) Check-in staff time responsibility is 5:30 PM until the shelter settles for the night, around 7:30-8 PM on an easy night, later on a more challenging night.
- Build and maintain overnight staffing schedule for both sites.
- Be the first point of contact for issues as they arise (particularly with no-show volunteers/bus drivers/volunteer teams). Delegate issues appropriately and in a timely fashion.
- Laundry coordination: Handle laundry transport schedule and coordinating with laundry volunteers and neighbors. Generally a twice-a-week daytime time commitment to ensure laundry is done and transported back appropriately.
- Supply coordination and organization: Keep an eye on supply stock at both sites (men’s and women’s), delegate to staff to re-order supplies as needed, to keep both sites stocked at all times.
- Build and maintain overnight staffing schedules, filling holes in the event of call-outs and/or sickness
- Receive daily shift reports after CWS closes each morning, and work with Micah staff to handle issues appropriately.
- Receive access to staff communication system () in order to stay up-to-date on developments with neighbors and daytime happenings. If desired, employee can attend case conferencing daytime sessions with Micah staff, in order to stay informed of developments with particular neighbors.
General expectation of time commitment:
During the season, our expectation is that this role comes to an average of about an hour a day (when the shelter is closed due to higher temperatures), or up to six hours a day (on a night when the shelter is open and daytime laundry/supply needs are being filled during the day). The time commitment that is needed is primarily about an hour of time each morning, and 3-4 evening hours, on nights when the shelter is open.
Requirements
- Proven experience in supervising staff or volunteers in a social services or shelter setting.
- Strong conflict management skills with the ability to handle challenging situations effectively.
- Familiarity with case management practices and resources for individuals experiencing homelessness.
- Basic knowledge of first aid
- Excellent communication skills, both verbal and written, for effective interaction with residents and team members.
