Description:
The Coordinator of Events & Conferences reports to the Director of Events & Conferences. This position is responsible for the planning, coordination, and execution of college events, conferences, and special programs under the supervision of the Director. This role ensures events support the institution’s mission, enhances student engagement, and promotes the college’s academic and community outreach initiatives. Because a pivotal role of this position is to ensure proper staffing of events and conferences, this position may require extended working hours related to evening and weekend events.
Education & Experience Requirements
Education required: Bachelor’s degree in Event Management, Hospitality, Communications, Business or a related field OR a combination of an Associate Degree in a related field and 3+ years of experience in event planning or project management, preferably in an academic setting.
Experience required: Bachelor’s degree candidates must have at least one year of experience in event planning or project management, preferably in an academic setting.
Skills required:
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal abilities.
- Familiarity with office suite software and other electronic design tools for presentations, social media, and websites, etc.
- Familiarity with event software and digital tools (e.g., EMS, Eventbrite, Cvent, Google Workspace).
Essential Functions & Position Duties
- Assist Director in the planning, coordination, and execution of all campus-wide events including academic conferences, student activities, alumni gatherings, career fairs, and faculty-led symposia under the supervision of the Director of Events and Conferences.
- Collaborate with internal departments (academic, administrative, and student services) to support event needs.
- Manage logistics including venue booking, catering, audiovisual setup, transportation, and accommodation (when needed).
- Assist Director with the creation of event timelines, budgets, and promotional plans.
- Assist with the reporting of statistics related to events and conferences.
- Coordinate with external vendors and service providers.
- Ensure compliance with college policies, safety standards, and accessibility requirements.
- Supervise event staff, student assistants, and volunteers.
- Monitor event success through feedback collection and post-event evaluation.
- Maintain a calendar of events and ensure there are no scheduling conflicts.
- Assist Director with the collection of statistics related to all campus events and conferences, including the development of standard reports.
- Assist in securing sponsorships or partnerships when relevant.
Non-Essential functions of the position
Other duties as assigned. Duties must be performed on the John A. Logan College campus or designated location.
