Job Summary:
This is a customer service-oriented position. The Dental Insurance Coordinator provides excellent customer service in all patient interactions, which may include, but is not limited to greeting patient families, answering the telephone, scheduling appointments, maintaining patient records, and coordinating patient flow. This position also ensures quality dentistry is financially available to patients, communicates with patients regarding their treatment plan, determines the best option for financing the recommended treatment, and arranges appropriate financial plans with patients. This position is to serve as an additional check out position, and insurance liaison. This position works closely with the financial administrator to assure accurate and timely payment both from insurance companies and patients. This position is the primary patient accounts receivable contact. This includes following our collections protocol, collecting at time of service, making financial arrangements for payment, and assisting in preparing accounts for the collections process.

Qualifications:
To perform this job successfully, an individual must be able to satisfactorily perform each essential duty as listed below.

Essential Duties:

· Professional customer service to patient families and creates a welcoming environment for financial discussions and check out.

· Identifies patients in the daily schedule who are of financial concern, notes payment problems on the patient’s chart, and arranges a conference with them either prior to or at the time of the appointment.

· Works with Financial Administrator to verify eligibility of patients that have Medicaid or CHP+ as their primary or secondary insurance daily prior to huddle.

· Coordinates patient financial arrangements according to the financial policy.

· Verify charts have complete insurance information.

· Presents the treatment plan, using models and diagrams, as necessary, and provides patient with related literature if necessary. Review cost of proposed treatment plan.

· Posting insurance pre-determination letters into Dentrix and communicating the receipt of this to patients and schedule appointments.

· Records patient financial discussions and arrangements detailed in the computer.

· Maintains appropriate financial documentation, including signed treatment plans and any financial agreements as necessary.

· Research patient insurance benefits as necessary.

· Batch insurance claims and send electronic claims at the end of the day.

· Submit secondary insurance claims once primary insurance payment is received.

· Answers incoming phone calls. This includes being able to schedule and reschedule appointments as well as answering any financial questions.

· Posting of payments both from patients and insurance payment. Tracks EFTs accurately on Excel Spread Sheet.

· Assists in daily balancing and deposit preparation.

· Assists in gathering information and working of reports in order to provide financial statements to the employer.

· Follows our collections protocol for accounts receivable. This includes preparing and sending statements, follow-up letters, phone calls and when necessary, preparing paperwork to send patients to collections.

Knowledge/Skills/Abilities:

· Knowledge of English composition, grammar, spelling, and punctuation.

· Skilled in the use of standard office equipment including telephones, calculators, copiers, fax, computers, and computer software (Dentrix, Microsoft Word, Excel)

· Ability to maintain composure and professionalism when exposed to stressful situations.

· Ability to engender trust from the doctors, co-workers, and patients.

· Ability to work cooperatively with management, staff and patients.

· Ability to prioritize, organize, and complete tasks in a timely and independent manner.

· Ability to accept constructive criticism.

· Ability to understand and follow written and verbal instructions.

· Ability and willingness to communicate with patient families where English is not primary language and ability to utilize translation technology to meet patient needs.

· Appreciation for patient families from all walks of life.

· Ability to collect data, establish facts, draw valid conclusions, and maintain confidentiality.

· Ability to communicate and express thoughts and ideas competently.

· Ability to quickly grasp relevant concepts regarding duties and responsibilities.

Education/Experience:

· High school diploma or equivalent

· Minimum of 2 years relevant experience, preferably pediatric dental experience

· Foreign language is preferred.

Physical and Environmental Requirements:

· May be required to lift up to 30 pounds.

· Sedentary position: may be required to sit for extended periods of time.

· Vision: close vision, depth perception, and ability to adjust focus.

· Hearing: able to satisfactorily communicate with patients, doctors, and other staff members to ensure that verbal communication is clearly understood, or a satisfactorily-equivalent method of communication.

· Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or operate equipment.

· Occasional exposure to toxic or caustic chemicals and radiation.

· Exposure to moderate noise levels.

· Exposure to hectic, fast-paced environments.

Additional or different duties may be assigned occasionally at the employer’s discretion.
