This position reports to the VP of Operations & Safety. The Fleet Administrative Assistant is a fulltime position. You will be working 8-5 M-F, but must also be available evenings, nights and weekends to deal with urgent situations, special projects and work overflow. The job is remote, but initial training will require some on-site work in Sumter or Columbia, and you must reside in one of the states where we do business: NC, SC, GA or TN. This job is responsible for ensuring our fleet adheres to all Department of Transportation (DOT) regulations. This includes managing driver qualification files, vehicle maintenance, safety training, and other compliance-related tasks. You will also handle record-keeping, such as driver vehicle inspection reports and hours of service logs. These records are BOTH hard copy and computerized. Familiarity with Encompass and ELD’s is helpful.
This job is responsible for frequent communication with all our drivers, by text, email and phone. You must be professional and courteous at all times, and responsive to all driver needs. You also will interface often with HR, with the VP of Safety & Operations, and other departments, and also with customers. Flexibility and ability to work in a stressful environment are essential. Strong computer skills, including word, Excel, and adaptability to new programs, is critical.
Key Responsibilities may include:
Managing driver qualification files, ensuring drivers meet all necessary requirements and certifications, and maintaining records of training.
Implementing and documenting safety training programs for drivers and other personnel related to DOT compliance.
Maintaining accurate and up-to-date records of all compliance-related activities, including vehicle inspection reports, hours of service logs, and accident reports.
Monitoring and ensuring drivers adhere to HOS regulations to prevent fatigue and accidents.
Managing drug and alcohol testing programs for drivers as required by DOT regulations.
Preparing for and participating in DOT audits to demonstrate compliance.
Documenting and reporting any incidents or accidents involving fleet vehicles.
Keeping abreast of changes and updates to DOT regulations and ensuring the fleet is always compliant.
Experience in a Petroleum transportation company extremely desirable. Good move-up position for a dispatcher or clerical/billing person.
