Event Coordinator (Remote)

Blue Pixel is a fully remote, project-based creative agency built for brands that move fast and think big. We’re looking for an eager Event Coordinator ready to grow and learn in the event space from seasoned professionals. This individual will have the opportunity to play in an extremely exciting environment, bringing to life extraordinary experiential events.

This is a hands-on, highly collaborative role for someone who thrives in a fast-moving, ever-evolving environment—comfortable adapting to shifting priorities, refining processes, and partnering across teams in a dynamic, project-based agency setting.

Who We Are

Blue Pixel transforms ambitious brand ideas into real-world experiences—from immersive events and influencer campaigns to branded content and digital storytelling. We’re a remote-first team rooted in trust, accountability, and creative excellence. Our projects are fast-paced, our clients expect the best, and we take pride in delivering work that’s both bold and buttoned-up.

The Opportunity

The Event Coordinator is responsible for supporting the end-to-end planning, coordination, and execution of experiential marketing campaigns, including live events, brand activations, pop-ups, and digital extensions. This role sits at the center of project delivery—bringing creative ideas to life through thoughtful planning, clear communication, and expert logistical execution.

What You’ll Do

  • Project Management
    • Support the production and execution of experiential programs from kickoff through wrap.
    • Develop and manage project timelines, workbacks, production schedules, and deliverables.
    • Track project milestones, budgets, and documentation with precision.
    • Organize all pertinent documentation for reference.
  • Client Communications
    • Show up with a Customer Service mindset.
    • Provide clear communication and status updates for the internal teams as well as clients.

  • Vendor & Partner Management
    • Source, negotiate, and manage third-party vendors.
    • Ensure all vendors meet deadlines, stay within budget, and deliver high-quality work.
    • Conduct site visits, walkthroughs, and production meetings as needed.
    • Manage project deliverables and deadlines with vendors.
    • Conduct research on experiential marketing and provide recommendations on future opportunities.

  • Cross-Functional Collaboration
    • Partner with creative, strategy, account, and digital teams to align production with vision.
    • Translate creative concepts into executable plans, ensuring feasibility and quality.
    • Anticipate issues and provide proactive solutions that support creative integrity.

  • On-Site Execution
    • Support with on-site setup, install, live event operations, and strike.
    • Travel required up to 20% - 30%

  • Budget & Reporting
    • Build and manage production budgets, including estimates, tracking, and reconciliations.
    • Provide detailed documentation and post-event recaps, including lessons learned.

What You Bring

  • 3-5 years of experience in experiential marketing, live event production, or brand activations.
  • Demonstrated ability to produce events ranging from small pop-ups to large-scale experiences.
  • Strong working knowledge of production timelines, permitting, vendor negotiation, and logistics.
  • Calm, solution-oriented mindset under pressure; thrives in fast-paced environments.
  • Proficient in Office and Google Suite
  • Willingness to travel and work non-traditional hours when required.
  • Highly detail-oriented, accurate, and organized—you don’t let things slip through the cracks
  • Effective communicator- communicating directly with executives in person and via email communications.
  • Comfortable working remotely, managing priorities independently, and collaborating across time zones
  • Bachelor’s degree preferred

Compensation & Benefits

  • Salary: $65-70K base, based on experience, with bonus potential
  • Remote Work: Fully remote, with flexible hours (core collaboration aligns with Eastern Time)
  • Health Coverage: Comprehensive health insurance (80% employer-covered), with optional dental and vision
  • Time Off: 3 weeks vacation, sick time, 12–14 paid holidays
  • Retirement: 401(k) with 3% company contribution after one year
  • Remote Support: Monthly reimbursement for internet and cell phone expenses
  • Equipment: Company-provided laptop and home office essentials
  • Culture & Growth: A collaborative, fast-moving team that values accuracy, accountability, and initiative. You’ll help build and maintain the financial foundation of a growing, modern agency
